Executive Assistant
RxBenefits is hiring! We are searching for a talented Executive Assistant to join the growing team. This position will provide a high level of support for multiple leaders at the Vice President or Senior Vice President level within the organization.
Job Responsibilities Include:
- Manages the day-to-day business activities of assigned leader(s)
- Manages extremely active calendars in Outlook
- Compiles and completes expense reports in accordance with Accounting’s requirements and deadlines
- Composes and sends correspondence on behalf of leader(s)
- Arranges complex and detailed travel plans, itineraries, and agendas
- Researches and executes special projects
- Assists with preparation of materials for meetings including detailed creating and formatting of professional presentations and documents
- Provides a bridge for smooth communication between internal departments and external constituents - demonstrating and maintaining credibility, trust, and support
- Exercises discretion and independent judgment
- Works closely and effectively to keep leader(s) well informed of upcoming commitments and responsibilities, following up appropriately
- Successfully completes critical aspects of deliverables with a hands-on approach that facilitates the leader(s)’ ability to effectively lead the company
- Prioritizes conflicting needs, handles conflicts expeditiously, proactively, and confidentially, and follows through on projects to successful completion, often with deadline pressures
- Partners with Marketing Events to organize events, meetings, or conferences, and travels to provide onsite support of said events when requested
- Performs light project management tasks including organizing tasks and deadlines, coordinating team efforts, and tracking project milestones
- Provides back-up support to additional leaders when the assigned Executive Assistant is unavailable
- Performs other related duties as assigned
Required Skills / Experience Include:
- Bachelor’s degree strongly preferred
- Five years of experience supporting VP-level or above leaders
- Strong organizational skills that reflect ability to perform and prioritize multiple tasks seamlessly with excellent attention to detail
- Service and client focused mentality
- Strong written and verbal communication skills
- Light project management experience
- Strong interpersonal skills and the ability to build relationships with stakeholders - including staff, external partners, and clients
- Emotional maturity
- Ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
- Ability to meet deadlines in a fast-paced environment
- Highly proficient in Microsoft Office (Outlook, Word, Excel, and Power Point), Visio, Adobe Acrobat, and Concur
- Ability to travel throughout the year for leadership and EA team offsite meetings as requested
- Ability to work independently in a remote environment and provide prompt support to multiple leaders across multiple time zones
Salary : $63,000 - $79,800
