Procurement Specialist (Hybrid) Job Details Description Summary: The Procurement Specialist compiles information and records to prepare purchase orders for the procurement of materials and services, and assists in purchasing and negotiating products and services with suppliers. This position tracks the status of requisitions, contracts, and orders, follows up with internal and external stakeholders, prepares and processes purchase orders, and maintains purchasing records. The Procurement Specialist also interacts with suppliers to obtain pricing and product specifications, verifies order acknowledgements and pricing, sets up new vendors in the ordering system, and inputs and transmits transactions.
Duties & Responsibilities • Assists with identifying suppliers with the appropriate capabilities, issuing RFI’s/RFQs/RFP’s (Request for Information, Request for Quote, or Request for Proposal), and collecting supplier proposals. • Assists in purchasing and negotiating products and services with suppliers, including computer hardware, fixed assets, software and software maintenance, printed material, and consulting services. • Investigates incorrect or late orders and initiates corrective action or recommendations for action. Negotiates adjustments, credits, returns, specifications, and/or price changes. • Works with external stakeholders to schedule or expedite services and resolves issues with shortages or other problems. • Tracks the status of requisitions, contracts, and orders. Prepares purchase orders. Maintains knowledge of organizational rules affecting procurement and provides information about these rules to internal and external stakeholders. • Maintains inventory needed for internal needs and ensures accuracy of the related accounts and quantities on hand. • Responds to customer and supplier inquiries. • Performs other duties as assigned.
