This position is customer-facing (staff, church members, and visitors), requiring friendliness, courtesy, and a respect for confidentiality. The Office Manager is often the first to meet people coming into the church office and therefore the first to greet and assist them, managing the administrative hub of the church.
Qualifications:
- Experience: Three to five (3-5) years of experience in an office management or administrative role is preferred.
- Education: An Associate's degree or higher is preferred.
- Specific Skills: Strong organizational and administrative skills, computer competency in Microsoft Office applications (Word, Excel, Teams), experience with database management (e.g., Breeze), excellent interpersonal and communication skills
Hours:
8 hours per week. In-person office hours are required but timing is flexible.
Accountability:
The Office Manager reports to the Pastor/Head of Staff. There will be semi-annual performance reviews and an annual compensation review.
Duties & Responsibilities:
The Office Manager shall be responsible for, but not limited to, the following:
- Front Office Management: Serve as the primary point of contact for the church office, managing general email and voicemail and assisting visitors and members with their inquiries and
- Facilities & Vendor Coordination: Coordinate the use of church facilities by internal groups and external organizations, maintaining the official master calendar (Google Calendar). In coordination with the Property Committee, maintain adequate records, schedule routine maintenance for service contracts and vendors (e.g., pest control), and oversee the maintenance and service of all office equipment.
- Supply Management: Manage the inventory and procurement of all office, janitorial, and facility supplies for the church and support the Neighborhood Learning Center (NLC) with supply orders as needed.
- Administrative Support: Manage incoming and outgoing mail, ensuring financial contributions are securely handled and passed to the treasurer. Maintain organized files for church records (digital and print), including insurance policies and financial documents.
- Database & Records Management: Maintain the church’s membership database (Breeze), ensuring records are accurate and processes for new members and visitors are followed. Track and report attendance.
- General Assistance: Assist the Pastor with other administrative duties as assigned and communicate with the Communications Director in order to maintain consistent and timely information on the church website and in weekly communications.
