The Operations Coordinator is a hands-on, impact-driven role responsible for ensuring the seamless execution of events and programs that serve participants, families, and the greater San Antonio community. Working closely with the Senior Event and Operations Manager and program leads, this position coordinates day-to-day operations, equipment and warehouse management, quarterly ACTIVATE 5K logistics, and event execution.


This role is ideal for someone who thrives behind the scenes, enjoys problem-solving in real time, and takes pride in creating efficient operations and safe, organized, and memorable experiences through sport.

 

KEY RESPONSIBILITY AREAS:

Asset & Warehouse Management

  • Maintain oversight of all San Antonio Sports–owned equipment, including inventory tracking, upkeep, and organization
  • Assist management with equipment budgeting, repair assessments, and purchase recommendations
  • Oversee warehouse operations, including organization, storage, and implementation of best practices and procedures for staff
  • Lead equipment staging, loading, and unloading for events
  • Provide operational equipment support for iPlay! Afterschool and San Antonio Sports Prep League programs
  • Manage additional program equipment needs such as ball inflation, packet stuffing, and supply preparation
  • Coordinate maintenance and upkeep of San Antonio Sports trucks in collaboration with Events and Community Programs staff
  • Lead and execute equipment deliveries and pickups using organization vehicles

Event & General Operations

  • Support operational planning and execution for San Antonio Sports–owned events, as well as community, youth, and fundraising programs
  • Events may include (but are not limited to): All-Star Football, All-Star Basketball, Corporate Cup, Hall of Fame, iPlay! Afterschool, ACTIVATE programs
  • Under the direction of the Senior Event and Operations Manager, support venue operations and lead volunteers, vendors and/or event management crews on-site
  • Coordinate event logistics, including setup and teardown planning
  • Support volunteer operations as needed
  • Assist with maintaining the annual operations calendar, integrating Community and Youth Programs needs
  • Serve as point of contact and maintain active vendor list for suppliers and service providers

ACTIVATE 5Ks

  • Assist in planning and executing logistics for ACTIVATE 5K runs (currently four per year)
  • Collaborate with the ACTIVATE Program Director and Senior Event and Operations Manager to implement council district partnerships, sponsorship elements, and program activations
  • Serve as a liaison with event venues, vendors and course operations
  • Coordinate public safety and traffic control needs for race events

Physical Requirements

  • Ability to sit or stand for extended periods
  • Frequent handling and movement of equipment and materials
  • Ability to lift up to 50 lbs unassisted
  • Comfortable working both indoors and outdoors
  • Ability to works nights and weekends as required

Job Requirements & Capabilities

  • Bachelor degree preferred with at least 1-2 years experience in event logistics, equipment operations and/or warehouse management
  • Practical knowledge of equipment function, maintenance, and organization
  • Ability to operate a pallet jack; willingness to become forklift certified
  • Ability to operate and drive 16-foot and 22-foot box trucks
  • Strong organizational skills with the ability to manage multiple projects, resources, and timelines
  • Proficient computer skills, including word processing, spreadsheets, and scheduling software
  • Ability to work under pressure and meet deadlines
  • Excellent written and verbal communication skills
  • Valid driver’s license with a clean driving record and acceptable DMV record as approved by San Antonio Sports’ insurance provider


This full time position is expected to pay $21 - $22 per hour
