This is a full-time position. The hourly pay range is $30.00 to $35.00 per hour.
Job Summary
The San Mateo County Event Center (SMCEC) is a public assembly facility which hosts a wide variety of events and produces the San Mateo County Fair, operates the Jockey Club – a satellite wagering facility for horseracing, as well as a full-service food operation. The Sales Coordinator serves in a highly visible capacity performing a wide variety of administrative and sales functions.
Essential Functions/Responsibilities
Essential and other important responsibilities and duties may include but are not limited to the following:
- Act as the secondary point of contact for incoming sales opportunities. Respond to initial sales opportunities with emphasis on immediacy of client communication in order to maximize revenue.
- Communicate with potential clients to answer booking inquiries with availability, capacity, rental pricing, venue services, and all other SMCEC details.
- Utilize event management software and maintain the calendar of all incoming sales opportunities and bookings.
- Host clients for site visits and conduct tours of the buildings and spaces.
- Responsible for preparation of estimates, letters of intent, and Venue Services Agreements for review and hand-off to supervisor.
- Maintain a positive relationship with all potential, new, and existing clients. As well as visiting clients during set up/event while onsite.
- Build upon our existing relationship within the community and the events industry by attending local industry mixers and town hall meetings.
- Responsible for internal communications of all contracted events by providing detailed summaries to Event Sales Supervisor, Event Success Supervisor, and Culinary Services Manager.
- Generate Event Folders with required documents and notes for supervisor.
- Create and maintain internal Look Ahead Document and Monthly Event Calendars.
- Responsible for various tasks as assigned during the annual San Mateo County Fair and other property wide events.
- Provide event coordinator support as needed.
- Perform additional duties as assigned.
Qualifications
Required
- Minimum 3-4 years of experience in event coordination and management.
- Principles and practices of sales and venue management.
- Strong organizational and follow-up skills.
- Ability to generate new and creative ideas to attract new events.
- Excellent computer skills including proficiency with Microsoft Office.
- Ability to build and maintain positive working relationships with management, colleagues, and clients.
- Willingness to take on new responsibilities and challenges.
- Requires flexibility to work evenings and weekends as necessary.
- Possession of or ability to obtain a valid California driver’s license and current automobile insurance in order to operate carts and vehicles while onsite.
- Ability to pass a criminal background check.
Preferred
- Knowledge of EBMS, TripleSeat, Social Tables, and DocuSign software.
- Bilingual – English and Spanish

Salary : $30 - $35
