SUMMARY

The position of Executive Services Assistant is responsible for performing administrative services for senior management level staff. In addition the Executive Services Assistant assures compliance with all SVB policies and procedures, as well as, all applicable state and federal banking/trust and investment regulations.

ESSENTIAL DUTIES

  • Assists the President/CEO with daily activities, maintaining calendar, organizing and scheduling meetings and appointments.
  • Maintains shareholder information, updates reports, surrenders and prepares new stock certificates, and updates information within shareholder database. .
  • Prepares and distributes shareholder dividend payments
  • Acts as Secretary for Sauk Valley Bank Board of Director meetings.
  • Works with Bank Directors in conducting personal banking business with Sauk Valley Bank
  • Assists with all donation requests for the Sterling office
  • May be called upon to conduct research on specific issues under consideration by senior management or the Board of Directors.
  • Set up Trust accounts and maintain files
  • Communicate with Trust clients and answers routine inquiries
  • Processes correspondence, files, records and minutes and performs other specific duties for management staff
  • Sets up meetings, conferences and conference calls
  • Obtains additional information, as needed, to complete reports on sensitive or special management communications
  • Performs regular secretarial duties, as needed, including providing telephone support, screening visitors and arranging and scheduling meetings and appointments

SUPERVISORY RESPONSIBILITY

The position of Executive Services Assistant is not responsible for the supervision of any employee(s).

ENVIRONMENT AND PHYSICAL ACTIVITY

The environment for this position is an open office that is mostly clean and comfortable. It may include some minor annoyances such as noise, odors, drafts, etc. The incumbent is in a non-confined office-type setting in which he or she is free to move about at will.

The incumbent in the course of performing this position spends time writing, typing, speaking, listening, lifting (up to 30 pounds), carrying, seeing (such as close, color and peripheral vision, depth perception and adjusted focus), sitting, pulling, walking, standing, squatting, kneeling and reaching.

MENTAL DEMANDS

The incumbent in this position must be able to accommodate to reading documents or instruments, detailed work, problem solving, customer contact, reasoning, math, language, presentations, verbal and written communication, analytical reasoning, stress, multiple concurrent tasks and constant interruptions.

MINIMUM REQUIREMENTS

These specifications are general guidelines based on the minimum experience normally considered essential to the satisfactory performance of this position. The requirements listed below are representative of the knowledge, skill and/or ability required to perform the position in a satisfactory manner. Individual abilities may result in some deviation from these guidelines.

  • High school diploma or general education degree (GED); two years of related experience and/or training; or the equivalent combination of education and experience. Work related experience should consist of a financial institution operations, sales or customer service background. Educational experience, through in-house training sessions, formal school or financial industry related curriculum, should be business or financial industry related.
  • Utilize MS Word, Excel and PowerPoint with a high degree of proficiency
  • Knowledge of principles and processes for providing customer and personal services. This includes customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
  • Strong knowledge of general office practices.
  • Basic math skills; calculate interest and balance accounts; add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions and decimals; locate routine mathematical errors; count currency, coin and negotiable instruments in a timely manner.
  • Effective oral, written and interpersonal communication skills with the ability to apply common sense to carry out instructions, interpret documents, understand procedures, write reports and correspondence, and speak clearly to customers and employees.
  • Ability to deal with difficult problems involving multiple facets and variables in non-standardized situations.
  • Effective organizational and time management skills.
  • Ability to work with general supervision while performing duties.
  • Current driver’s license and a vehicle with appropriate insurance coverage if required to drive in the course of performing assigned duties and responsibilities.

The incumbent must be able to perform this position safely, without endangering the health or safety to him/herself or others.

Salary Range: $32.00 - $48.00 an hour depending on experience
