Job Title:
Part-Time Administrative / Executive Assistant (Medical Practice)
Position Summary:
We are seeking a reliable, highly organized, and professional Part-Time Administrative /
Executive Assistant to support a physician in a private medical practice in Wilmington, Delaware.
This role is integral to patient care coordination and daily operations of a concierge internal medical
practice. The ideal candidate is dependable, hardworking, and polished in their communication style,
with the ability to manage sensitive information and multiple priorities in a high-touch healthcare
environment. We are looking for a long-term candidate that would interact directly with the
doctor on a day-to-day basis.
Key Responsibilities:
Clinical Coordination (Non-Clinical)
• Streamline the process of obtaining medical records for new patients. This involves
requesting records and calling medical offices to obtain reports (i.e. colonoscopy/bone
density/mammogram reports, prior bloodwork).
• Upload outside records and documentation into the EMR.
• Place electronic orders related to direct patient care into third party systems (i.e. LabCorp,
Delaware Imaging Network).
• Communicating directly with patients and other medical practices to obtain, confirm, and
validate information.
• Create system for ensuring laboratory orders are placed in advance of annual visits.
Physician & Patient Liaison:
• Act as a primary liaison between the physician and patients for scheduling questions and
onboarding of new patients.
• Assist with responding to and triaging patient portal messages or phone calls under physician
guidance. Medical knowledge not required, but is beneficial.
Administrative & Office Support:
• Assist with scheduling and calendar organization.
• Communicate professionally via phone, email, and fax.
• Become primary contact point for office-related housekeeping issues (i.e. scheduling of
repairs with third party office management company).

Required Skills & Qualifications:
• Comfortable with learning electronic ordering platforms & electronic medical record (EMR)
system.
• Proficiency with email, fax, and Excel.
• Strong verbal and written communication skills, including the ability to speak with patients,
pharmacies, and medical offices.
• Prior experience in medical administrative role or executive assistant preferred.
Schedule:
• Part-time position, flexible hours (approximately 25 hours weekly M-F) with the ability to
accommodate some home-based work if desired.
• 15 PTO days per calendar year (includes both sick and personal days).
