Your Next Career Opportunity – Administrative Assistant II

Provides general administrative support. Maintains and files reports and other information. Schedules and coordinates logistical support for conference calls and meetings. Makes travel arrangements. Provides word processing and other document preparation services. Locates and retrieves information in support of management and technical staff.

What You Will Do – Primary Responsibilities

  • General Duties:
  • Assist with miscellaneous administrative duties within the department, inclusive of scheduling conference calls and meetings, and take notes as requested.
  • Arrange complex and detailed travel plans and itineraries, compiles documents for travel-related meetings, and act as standby for scheduling or travel problems.
  • Arrange programs, events or conferences by arranging for facilities and caterer, issuing information or invitations, coordinating speakers and submitting check requests for payment of vendors.
  • Maintain and update procedure manuals.
  • Assist in preparation of records including but not limited to RFP preparation, binding of meeting materials, and creating PowerPoint presentations.
  • Prepare correspondence, proposals, cover letters and documents.
  • Assist with the preparation of presentation materials and exhibits.
  • Answer incoming telephone calls.
  • Retrieve and disseminate departmental mail and handle shipping activities.
  • Assist in purchase order requests and maintenance of records from carriers.
  • Order and maintain department office supplies when needed.
  • Schedule, perform, and complete multiple assignments under strict time deadlines.
  • Provide computer-related technical assistance to other office personnel.
  • Scan employee documents into employee database.
  • Other projects and duties as assigned.

What You’ll Need – Qualifications & Requirements

  • H.S. Diploma/GED Associates Degree preferred;
  • and 0-2 years experience supporting a senior level manager or executive and/or relevant experience.
  • Demonstrated knowledge and advanced proficiency working with Microsoft Office Suite software including Microsoft Word, Microsoft Excel, Microsoft PowerPoint and Microsoft Outlook.

Job Type: Full-time

Pay: $15.00 - $21.00 per hour
