What are the responsibilities and job description for the Administrative Assistant/Receptionist position at SCA Tutoring Center?
The SCA Tutoring Center located in Garfield, New Jersey, is looking to hire an experienced Administrative Assistant to work directly with the Founder and Director of the Center. The Administrative Assistant will be responsible for completing administrative duties and serving as the first point of contact for all parents and students needing services provided by the SCA.
The administrative Assistant will assist with the overall operation of the tutoring center. The duties will vary on a daily basis. However, some of the duties will be as follows: Open and/or close the Center, answer the door and warmly greet parents, students, visitors and potential customers, answer a wide variety of questions and provide information regarding our center and the services we provide over the phone and face to face. Understand and become fluent in the policies and procedures of the center, Manage the overall operation of the center, Provide outstanding customer service, Take detailed messages, Scheduling, Review and ensure the accuracy of the schedule, Create and maintain database for tutor availability, Respond to emails and phone calls, Create and maintain database for students' schedules, Maintain order and control of the students/visitors in the building, Ensure company policies, standards and procedures are followed, Preparing payroll , schedule interviews, Screening and interviewing applicants, Orienting new employees, Planning staff meetings, onboard students and tutors, Create and maintain tutor/student intake folders, Maintaining the director’s calendar and update the Director of upcoming events and important dates, Assisting with website, social media and marketing, Maintain all files/records of personnel, Maintain all files/records of students, Organize and plan meetings and events, Maintain and organize files, Maintain, update and credit student hours, Implement systems to ensure the smooth operation of the center, Photocopy, scan and maintain all necessary paperwork, Scan and upload all contracts/paperwork, Update all records (phone/email/lead list) utilizing appropriate database, Maintain and update student hours, Communicate with parents via email regarding any questions or concerns, Report all potential repairs or updates needed, Restock materials (inform director of items needed to reorder), Data Entry as required, Process documents and spreadsheets, Ensure completion of exit surveys, Assist with creating handbooks and newsletters, Maintain and update Student of the Month Bulletin Board (ensure student receives certificate and kps) Maintain and update Birthday Bulletin Board and remind the director of upcoming birthdays, etc. Maintain the appearance of all bulletin boards, Seasonally update window display, Maintain tutor assessments, Score tutor/student assessments, Maintain student binders (creating for new students, filing away of inactive students) Monitor student payments - maintain tuition records, Produce weekly report on updating on projects/activities, *Maintain the appearance of the center (keeping tidy at all times, wipe desks, empty all small cans, water plants, organize books and materials , dust shelves, sharpen pencils, fill copy machine, organize and clean director’s office book shelves, clean reception area, organize, clean and restock SCA store.
The center may assign particular or additional management, administrative or clerical tasks to you at any time. Such work may be outside of the normal area of duties. You must be prepared to undertake such other administrative work as may be assigned to you. You must be flexible.
