The central office for the Hanover & Norwich school districts is seeking a responsible Administrative Assistant to perform a variety of administrative and clerical tasks for the central office. This position serves as receptionist and handles various administrative tasks to keep the office running smoothly. We are looking for a master multi-tasker with excellent communication skills and an upbeat attitude, who enjoys taking initiative and helping to move projects along. Candidates should be able to assist colleagues and visitors by handling office tasks, providing polite and professional assistance via phone, mail, and e-mail, and generally being a helpful and positive presence in the workplace. The administrative assistant position helps support the superintendents, human resources office, and finance office. Experience in public education, HR, or finance are a plus, and to some extent, the work can be tailored to fit the strengths and interests of the person in the role.

General Purpose:
Serve as the primary receptionist for all visitors to the SAU office and the primary responder to phone calls placed to the SAU office. Provide administrative support to the SAU departments. Maintain a well-organized, efficient office environment while providing customer service to the public.

POSITION DUTIES AND RESPONSIBILITIES:
Except as specifically noted, the following functions are considered essential to this position:
- Greet, screen and direct SAU visitors and callers to appropriate department
- Provide support to all SAU departments with various tasks and projects as needed
- Fingerprint new hires, volunteers, coaches, substitutes and others as needed
- Act as transportation liaison for district busing needs
- Assist with annual budget mailers and annual reports
- Track and process incoming receivables as directed by the Finance team
- Ensure monthly student counts are timely and accurate
- Act as primary back-up to the Administrative Assistant to the Superintendent
- Prepare meeting agendas, attend meetings as directed, and create meeting minutes in accordance with applicable policies and laws
- Assist with coordinating and organizing district voting needs
- Respond to Board needs and inquiries in the absence of the Administrative Assistant to the Superintendent
- Prepare new hire materials; assist with scheduling and coordination of new hire activities
- Assist with file management related to hiring and terminations
- Ensure Human Resources filing is timely and compliant with applicable best practices
- Responsible for processing and auditing monthly insurance invoices
- Initiate first report of injury to applicable workers comp vendor; elevate claim to HR Director if necessary
- Maintain accident logs
- Open and distribute incoming and outgoing mail
- Place supply orders for the SAU office and maintain inventory
- Process requisitions and purchase orders for SAU staff
- Assist with coordinating maintenance and repair of SAU office machines
- Maintains office filing in compliance with state and federal regulations
- Perform other duties and accept responsibilities as assigned.
- Must comply with all SAU 70 District policies and building / department rules, procedures, practices and objectives.
