What are the responsibilities and job description for the Athletics and Activities Administrative Assistant position at School District of Ashland?
- Ability to manage the co-curricular office for the School District of Ashland and maintain a professional office environment.
- Serve as first point of contact for all students, parents, guests, and staff as they contact the co-curricular office.
- Ability to forge positive relationships with the parents/guardians of all students, staff, administration, and community agencies as needed.
- Flexibility and willingness to assist counselors, staff, administration, parents, and especially students; often at a moment's notice.
- Ability to work cooperatively and communicate regularly with building staff. Candidate must have strong communication skills.
- Work cooperatively with Building Administration in scheduling and promoting of District facilities.
- Collaborate with Director of Faciliites Use & Community Outreach to have a working knowledge of the Rschool activities and facilities scheduler.
- Coordinate the use of the scoreboard/display in gymnasium. It will be the responsibility of this position to ensure programming is accurate.
- Schedules and maintain Director of Athletics and Activities appointment calendar.
- Work closely with administration to schedule and calendar building-wide activities and meetings.
- Knowledge and experience using the Skyward system is preferred. Those with experience with student records will be given strong consideration.
- Updates student contact information within the Skyward program on a regular basis.
- Maintains confidentiality of student and staff activities/records.
- Maintains all office files. Keeps all files up-to-date and monitors all files on a regular basis.
- Assist Director of Athletic and Activities in department budget, enter/track building requisitions and will be reponsibile for petty cash/event start up cash boxes..
- Maintain student activity accounts.
- Manage general supply store room; orders, stocks, dispenses and organizes general supplies.
- Manage concession operations.
- Responsible for reconciliation and deposits of all co-curricular accounts.
- Scheduling of game officials.
- Coordination of co-curricular transportation.
- Ability to problem solve as issues arise.
- Responsible for monitoring GPA and daily attendance of student athletes in collaboration with Director of Athltics & Activities.
- Ability to update Ashland High School website and other social media programs as needed.
- Maintain office equipment.
- Dispense and track all building keys.
- End of the year check-out for coaches/advisors.
- Update student packets, handbooks, and other materials as needed.
- Types correspondence as needed.
- Sort and deliver mail.
- Other duties as assigned.
