POSITION SUMMARY: The Volunteer Supervisor is a supervisory position for all operational volunteer positions. This position coordinates the recruitment, training, scheduling, retention, advancement, and coaching of team volunteers to support the staff team in maximizing capacity and providing quality care. This position also activates and oversees volunteers to participate and support engagement opportunities. They work closely with the operations management team to create and maintain a strong working relationship between the team members and volunteers. The Operations Volunteer Specialist must be skilled in working with people and adapting to their personal styles and needs.
KEY OR ESSENTIAL FUNCTIONS:
- Responsible for recruitment, training, retention, advancement, and indirect oversight of team volunteers
- Creates and sources volunteer training material
- Supports team with training new volunteers when needed
- Works with program managers to address and remedy volunteer challenges
- Activates existing and new volunteers to support engagement activities, events, animal experiences.
- Monitor volunteers schedules and proactively identify gaps in coverage to ensure consistent volunteer support
- Provides management team with their daily volunteer schedule, answer questions and address concerns
- Develop and implement an on-call volunteer support team that can be tapped during staff shortages, and emergency situations
- Actively participates in program meetings not only for engagement but also for other operational departments
- Identify new revenue opportunities to help support the operational sustainability of the program
- Creates and updates volunteer handbook, reference documents, SOPs and process documents as needed
- Capable of completing all key volunteer tasks and functions
- Focuses on disease prevention and safe working practices
SUPERVISORY RESPONSIBILITY:
- Volunteers: Direct supervision of all volunteer positions onboarding, with continued indirect supervision as needed
COMMUNICATIONS/INTERPERSONAL CONTACT:
- Daily close collaboration and communication with operational staff
- Provides up to date volunteer information and reports to the leadership team
- Daily communication with Manager and Director
- Weekly check-ins with Community Engagement team
- Constant communication with volunteers
- Represents Seattle Humane in a professional manner
- Commitment to valuing diversity and contributes to an inclusive working environment that is sensitive to other opinions, cultures, and perspectives
COMPLEXITY:
Supervisory roles include coaching and feedback based on the individual’s needs and style. A high degree of independent judgment is required. The nature of the job will vary. Must be able to supervise and coordinate volunteers and remain focused on the agency goals and objectives. A strong attention to detail and the ability to respond to unexpected questions, comments or requests from other departments or the public is required. Must be able to maintain concentration on a task or series of tasks while dealing with frequent interruptions. Must be able to train new volunteers and adjust plans as appropriate based on the individual. Must be able to work well without direct supervision. The ability to motivate, negotiate and mediate is important when handling a variety of personalities and emotions. Supervisors who are open to learning new management methods and skills are desired.
KNOWLEDGE/EXPERIENCE/EDUCATION OR TRAINING:
- Ability and willingness to train and drive SH Vehicle Fleet including large recreational vehicles
- Must have excellent oral communication skills
- Must be able to write clearly and listen effectively
- Must possess organizational and planning skills to determine work priorities and schedules
- Must have experience working with volunteers
- Must have experience supervising staff or volunteers
- At least one year employment at an animal shelter or related professional experience handling animals is preferred
- Basic knowledge of animal health, behavior and nutrition
- Basic knowledge of Microsoft Word and Excel
- Must be familiar with Outlook environment, internet use and e-mail
- Experience with databases and data entry helpful
LICENSES/CERTIFICATIONS REQUIRED:
- Valid Washington State Driver’s License

- Must be able to lift and carry at least 50 pounds with or without accommodation
- Must be able to crouch and bend at the waist and kneel
- Must be able to control dogs up to 75 pounds when on a leash
Work Hours: Full-time non-exempt position. 40 hours per week scheduled, five days a week. Schedule may vary depending on coverage by other department staff, holidays, or emergencies.
