The job of Elementary School Assistant is done for the purpose(s) of providing clerical and other support for the school; maintaining attendance and related issues, communicating truancy records and other information to parents, and serving as a contact for inquiries from the public.
  • Answers incoming telephone calls for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages.
  • Assists the lead secretary in initiating financial transactions and reports (e.g. requisitions, ABS/contingent funds, tracking supplies, etc.) for the purpose of meeting school needs.
  • Communicates with students, teachers, parents, District employees, etc. (e.g. courtesy calls to parents, attendance history, parent letters, passes to students, etc.) for the purpose of resolving problems and coordinating activities and processes.
  • Maintains a variety of manual and electronic reports, documents and confidential files (e.g. standardized/special reports, letters to parents, fliers, bulletins, rosters, schedules, attendance records, discipline and injury reports, etc.) for the purpose of conveying information regarding school and/or District activities and procedures.
  • Supervises students in a variety of settings (e.g. recess duty, hall, transportation, lunch room, etc.) for the purpose of ensuring a safe school environment.
  • Notifies parents and/or guardians of student absences for the purpose of resolving truancy issues and meeting District, County, State and Federal requirements.
  • Responds to inquiries from a variety of individuals (e.g. staff, parents, other schools, and/or students, etc.) for the purpose of providing information and/or directions as may be required.
  • May conduct background checks on volunteers.
 
OTHER FUNCTIONS:
  • Administers, under the direction of a health care professional, medication and/or minor first aid to students (e.g. treats bee stings, rashes, wounds, prescriptions, etc.) as needed.
  • Participates in meetings, trainings, workshops, seminars, conferences, etc. for the purpose of conveying and/or gathering information required to perform functions.
  • Performs related duties consistent with the scope of the position.
 
REPORTING RELATIONSHIPS:
 
Reports to Principal as assigned school.

REQUIRED KNOWLEDGE, SKILLS & ABILITIES:

Knowledge
  • Required to perform basic math, including calculations using fractions, percents, and/or ratios; read a variety of manuals, write documents following prescribed formats, and/or present information to others; and understand complex, multi-step written and oral instructions. 
  • Specific knowledge required to satisfactorily perform the functions of the job includes: age appropriate activities; business telephone etiquette; and concepts of grammar and punctuation. 
Skills
  • Required to perform multiple, non-technical tasks with a potential need to upgrade skills in order to meet changing job conditions. 
  • Specific skills required to satisfactorily perform the functions of the job include: operating standard office equipment including pertinent data systems and software applications such as SAP, SubFinder and PowerSchool, and preparing and maintaining accurate records. 
Ability
  • Required to schedule activities and/or meetings; collate data; and use basic, job-related equipment.
  • Flexibility is required to work with others in a wide variety of circumstances; work with data utilizing specific, defined processes; and operate equipment using defined methods. 
  • Ability is also required to work with a significant diversity of individuals and/or groups; work with similar types of data; and utilize job-related equipment. 
  • In working with others, problem solving is required to identify issues and create action plans.  
  • Problem solving with data requires independent interpretation of guidelines; and problem solving with equipment is limited to moderate. 
  • Specific abilities required to satisfactorily perform the functions of the job include: working with detailed information and data, meeting deadlines and schedules; communicating with diverse groups of individuals; working with frequent interruptions; maintaining confidentiality; and ability to read, write and communicate effectively.

RESPONSIBILITY:   

Responsibilities include: working under limited supervision following standardized practices and/or methods; providing information and/or advising others; and operating within a defined budget.  Utilization of some resources from other work units is often required to perform the job's functions. There is a continual opportunity to impact the Organization's services.

WORKING ENVIRONMENT:  

The usual and customary methods of performing the job's functions require the following physical demands: significant lifting, carrying, pushing, and/or pulling; some stooping, kneeling, crouching, and/or crawling; and some fine finger dexterity.  Generally the job requires 50% sitting, 25% walking, and 25% standing.  This job is performed in an elementary school office, which is generally a clean and healthy environment.

EDUCATION:

High school graduation or GED equivalent.
 
EXPERIENCE

One (1) year clerical work experience that must include public contact and one (1) year of experience supervising children.
 
REQUIRED TESTING:

None.

CERTIFICATES & LICENSES:

Valid State of Washington Driver's License or equivalent mobility.

CLEARANCES:

Criminal Justice fingerprint background clearance.
