- Provides excellent direct patient care through careful administration of TMS and Esketamine treatments.
Duties and responsibilities
Patient Care:
Welcomes patients to clinic, creates a therapeutic and compassionate environment
Fields and troubleshoots patient concerns and questions, escalating questions or safety concerns to supervisor or patient’s provider(s) as needed and when appropriate
Performs chart review, reading progress notes and accurately implementing treatment plans including, but not limited to, changes in TMS protocols or Esketamine doses
Establishes and maintains professional boundaries with patients, asking for back up or assistance from supervisor(s) or patient’s provider(s) as needed and when appropriate
Monitors patient’s medical symptoms and medications during treatment appointments, alerting and coordinating with provider(s) in case of questions or worsening of symptoms
TMS Treatments:
Administers TMS treatments carefully, properly manipulating TMS arm, ensuring accurate placement of TMS coil and administration of prescribed treatment parameters
Proficient in operating TMS machine and reading TMS protocols, correctly entering prescribed protocols into machine for treatment
Adequately sets up for and assists in MT procedures, correctly taking measurements and marking patient’s TMS cap
Performs MT rechecks accurately and timely as needed or as requested by provider
Esketamine Treatments:
Carefully and accurately takes patients vitals and assists patients in self administration of Esketamine, documenting time of vitals and administrations of doses
Monitors patient’s medical symptoms (i.e., blood pressure) and side effects (i.e., nausea, sedation, dissociation) during observation period, alerting and communicating with clinic warm body provider as needed
Completes REMS enrollment forms and online patient monitoring forms timely and accurately
Updates medication and inventory logs timely and accurately, communicating with team members as needed in the event of low drug inventory
Charting and Documentation:
Charts for all TMS or Esketamine treatments in EPIC and in patient excel logs
Assists patient in completing proper treatment consent and insurance forms, scanning and uploading to patient’s EPIC chart
Writes notes and documentation in patients chart that are clear, concise and accurate, using correct vocabulary, spelling, and grammar
Patient Care Coordination Tasks:
Checks patients in before appointments and assists in maintaining their schedule, reminds them of future appointments and helps with rescheduling as needed
Proficient in scheduling tasks such as, but not limited to, scheduling TMS treatment courses, Esketamine treatments, and follow up office visits per clinic protocols
Monitors patient’s insurance authorizations, alerting PCCs when more authorizations or authorization extensions are needed, ensuring all treatments are authorized
Completes patient medication refills accurately and timely, following up as needed
Fields outside records and updates patient charts appropriately, uploading, routing, and communicating in EPIC/ATHENA as needed
Fields patient emails and voicemails, completing tasks or coordinating with PCCs as needed or as requested
Assists with other patient care tasks as needed or as requested by PCCs or supervisors
Proficient in navigating EPIC charts, schedules, in basket, and channels of communication, completing tasks and responding to messages timely and appropriately
Office Cleanliness and Organization:
Maintains a clean and safe work environment, assisting in clinic cleaning and organization tasks as needed or as requested by supervisors
Cleans and maintains TMS and Esketamine equipment and treatments rooms per protocols and as needed
Monitors clinic supplies and inventory, updates supply list, troubleshoots equipment malfunctions, alerting supervisors as needed
Communication with Team and Supervisors:
Provides clear, accurate, and concise verbal and written communication with team
members and providers regarding patient questions or safety concerns
Relates and works well with team members and supervisors, asking for help and offering
help as needed while maintaining a positive attitude
Performs duties timely, following up on messages, threads of communication, and tasks
appropriately
Attends scheduled meeting including, but not limited to, weekly staff meeting and
training sessions, reading meeting summaries and staying up to date on workflows
Properly follows clinic protocols for requesting PTO, calling out, or swapping shifts
Company Policies and Protocols:
Remains up to date on and follows all company policies and protocols
Attends work each day unless preapproved leave, arriving on time and using lunch and
breaks appropriately and for the expected amount of time
Keeps an open mind and shows willingness to learn new methods, procedures, and
techniques
Qualifications
Qualifications include:
Work full-time Monday – Friday between clinic hours of 7am – 5pm
A high school diploma or equivalent
Willingness to adapt to changing circumstances while maintaining a positive attitude
Excellent customer service and/or patient care skills
Strong organizational and time management skills including punctuality, attention to
detail, and problem-solving skills
Exceptional interpersonal skills and experienced with working as part of a team
Strong written and verbal communication skills
Warmth, compassion, and comfort working with patients with mental illness such as
depression, anxiety, and OCD
Preferred qualifications include:
Medical assistant or bachelor’s degree preferred
Experience navigating, scheduling, and documenting in an EMR, preferably EPIC
Proficient with Microsoft Office (Word, Excel), Microsoft Teams, and Outlook
1 years of patient care experience
Knowledge and understanding of mental illness such as depression, anxiety, and OCD
Working conditions
Clinic hours vary, but are typically Monday through Friday, 7am until 5pm. Hours are subject to
change and this position may require changing shifts on short notice in the event of call outs.
Physical requirements
The TMS Technician job includes repetitive tasks (i.e., placing the TMS coil), holding TMS coil
(6.4lbs) during MT rechecks, standing regularly in order to assist patients, and occasionally
needing to lift 30-40lbs.
