Job Title: Front Office Staff, Receptionist, Crystal Lake Office
Reports To: Office Administrator, Crystal Lake Office
Education Requirements: High School diploma and two years of front office experience
Other Requirements: Bilingual; fluent Spanish speaking, reading, writing
Job Duties and Responsibilities:
- Receive incoming phone calls and route to appropriate staff, take messages, answer general questions
- Greet clients, guests as they come into the office
- Translate for Spanish speaking clients
- Schedule appointments for various services
- Accept payments and issue receipts
- Process incoming and outgoing faxes
- Process incoming and outgoing mail and inter-office mail
- File, photocopy, and other office work
- Maintain a neat and organized reception area
Key Skills Required:
- Must be friendly and personable, able to communicate verbally with confidence and clarity
- Must maintain confidentiality of client information
- Proficient in Microsoft Word, Outlook and Excel spreadsheets
- Handle multiple issues simultaneously without losing priorities or perspective
- Detail oriented – maintain thorough, accurate records
- Maintain an objective outlook and problem solving approach when involved with stressful situations
- Good judgment and decision sense; ability to determine and prioritize important calls and tasks
