JOB SUMMARY:
This position maintains and coordinates the front office and reception activities during evening group hours to ensure effective communications both internally and externally, provides administrative support to staff and clients to ensure safety of the facility during group times.
Job Type: Part-time
Schedule: Evenings; Expected hours: 13 – 18 per week
REPORTING RELATIONSHIPS
The Office Assistant does not supervise any positions.
OFFICE ASSISTANT DUTIES & ESSENTIAL JOB FUNCTIONS
- Greet, welcome and assist clients to provide welcoming and professional image of organization
- Answer incoming phone calls and route appropriately to ensure efficient and accurate flow of communication and information exchange
- Perform breathalyzers and urinary analysis testing
- Process credit card information and cash as payment from clients to ensure accuracy of transaction
- Maintain roster and urinary analysis/breathalyzer testing results for referents
- Assist with new client orientation
- Monitor facility during group session hours and assist clients if required
- Ensure facility is secure and locked
- Light paperwork and cleaning duties while group is in session
PERIODIC FUNCTIONS AND RESPONSIBILITIES
- Perform, prepare and package drug screens
- Assist clinical staff with administrative tasks such as filing, typing, correspondence, faxing and copying
- Coordinate, order and distribute office supplies and inventory levels
- Perform other duties as assigned
QUALIFICATIONS
- Requires vocational or trade school certification in related field and
- One years of experience in related field or position or
- Equivalent related experience
REQUIRED LICENSES/CERTIFICATES
- May be required to be CPR and First Aid Certified, depending on staffing levels
SKILLS, KNOWLEDGE AND ABILITIES
- Ability to read, analyze and interpret business communication
- Comprehension of and ability to perform basic mathematical calculations such as adding, subtracting, dividing, multiplying
- Demonstrate high attention to detail
- Ability to use tact, diplomacy and influence to diffuse problems or difficult situations
- Ability to review and record data with high degree of accuracy
- Ability to clearly and effectively communicate in both written and oral forms
- Ability to comprehend written and oral communication
- Ability to use established procedures and policies, along with independent judgment, in order to solve problems
- Ability to manage multiple, competing tasks and demands and manage time efficiently
- Ability to proof and check documents for accuracy
- Ability to establish relationships with clients, peers, and management
- Ability to type/keyboard with minimal errors

Salary : $17 - $21
