Role Overview
The Patron Services Assistant plays a key support role in delivering a welcoming, efficient, and well-coordinated front-of-house experience for Wilson Center patrons. This position supports ticketing operations, patron services, front-of-house coordination, and data integrity, and is well-suited for a technically savvy, customer-focused individual seeking growth within arts administration.
This role operates primarily from the front desk in a shared (“hot desk”) environment and requires comfort with frequent interruptions, loud environments, and regular patron interaction.
Primary Responsibilities
Database & Reporting Support (20%)
· Perform accurate data entry and maintenance within ticketing and patron databases.
· Support financial reporting, reconciliation, and basic data audits to ensure accuracy and consistency.
· Assist with ticketing setup, event builds, and post-event reporting.
· Help identify and correct data discrepancies, duplicates, or incomplete records.
· Generate standard reports for internal use as requested.
Patron Services & Box Office Support (30%)
· Provide front-line customer service to patrons via phone, email, and in-person interactions.
· Process ticket sales, exchanges, and will-call pickups in the Box Office system.
· Serve as a knowledgeable resource for patrons regarding performances, seating, accessibility, and policies.
· Maintain working knowledge of the Assisted Listening program and support training and communication with Front of House staff and volunteers.
· Assist with resolving patron concerns calmly and professionally, escalating when appropriate.
Front of House Coordination Support (30%)
· Assist with scheduling part-time front-of-house staff and volunteers.
· Support calendar management and internal communication related to FOH coverage.
· Serve as a liaison between FOH staff, volunteers, and internal departments.
· Help maintain staff rosters, contact lists, and scheduling tools.
· Provide on-site coordination support during events as assigned.
Other Duties as Assigned (20%)
· Provide occasional support to artist hospitality planning and logistics, as needed and directed.
· Assist with administrative projects related to patron services, FOH operations, or special events.
· Support cross-department initiatives during high-volume or peak periods.
Skills & Qualifications
· Strong customer service orientation with a friendly, approachable demeanor.
· Comfortable working in a public-facing, reception-style role.
· Highly organized with strong attention to detail.
· Technically savvy and comfortable working with CRM databases, spreadsheets, and reporting tools.
· Ability to work effectively in a shared workspace with frequent interruptions.
· Strong written and verbal communication skills.
· Ability to remain calm, professional, and solution-oriented in a fast-paced environment.
· Availability to work occasional evenings and weekends as required by event schedules.
· Interest in the arts and nonprofit work are strongly preferred.
Physical & Work Environment Requirements
· Ability to sit or stand for extended periods at a front desk.
· Ability to lift light materials (up to ~30 lbs) as needed.
· Comfortable navigating stairs and public areas of the facility.
