We are seeking a Surgery Scheduler to play a key role in supporting our operations and delivering a positive patient experience. This role works closely with surgeons, office staff, and multiple surgical facilities to coordinate procedures, maintain accurate schedules, and uphold patient confidentiality.
Key Responsibilities
- Greet patients and visitors in a respectful, courteous manner
- Check patients in, create visit appointments, and update profiles using scheduling software
- Collect and document co-pays, verify insurance, and confirm demographic information in compliance with HIPAA
- Coordinate surgical appointments with multiple facilities and confirm patient availability
- Inform patients of any appointment delays or changes
- Schedule and reschedule follow-up appointments as needed
- Answer and triage incoming phone calls, directing them appropriately
- Address patient concerns with professionalism and empathy
- Balance and reconcile daily funds
- Maintain a clean, organized front office and ensure supplies are stocked
- Comply with all safety and organizational guidelines
- Perform other duties as assigned
- High school diploma or equivalent required
- Bilingual Spanish / English required
- Medical Administrative Certificate or CPR Certification preferred
- 0–6 months of experience in a medical office required
- 2–3 years of experience in a medical office preferred
- Knowledge of HIPAA, OSHA, and Cal-OSHA regulations
- Strong written and verbal communication skills
- Ability to maintain confidentiality and professionalism
- Highly organized and detail-oriented
- Calm and patient demeanor when interacting with others
- Strong customer service skills
- Ability to work collaboratively in a team environment
