Who We Seek:

We are seeking a dedicated and motivated individual to join our team. Our ideal candidate is someone who has a customer-centric attitude who enjoys working in a fast paced environment. One who is highly organized with excellent written and verbal communication skills and someone who values kindness and professionalism. This is a hybrid role (essential functions 80% / backend admin support 20%) in which you will be the first point of contact for patients, provide support to the office manager with clinic operations, and flexibility to take initiative on special projects outside typical responsibilities when necessary.

Job Type: Part-Time

Salary: $17.00 per hour

Expected hours: 25 - 30 hours per week

Schedule: Monday, Tuesday, Thursday, Friday (closed Wednesday)

Summary of essential job functions:

  • Demonstrate exemplary customer service when welcoming patients and visitor management to the Shine office
  • Heavy calendar management and scheduling for physician, nutritionist, and staff
  • Answer phone calls, manage emails, monitor portal communication, and in person inquiries
  • Check in/check out patients ensuring up to date demographics and required forms completed
  • Billing management (patient visits, product sales, office admin, etc)
  • Input patient information and health data into EHR system,
  • New patient intake and database management for new patient inquiries
  • Support physician and office manager with administrative tasks
  • Communicate with internal office team and provider to ensure patients are equipped and daily tasks are accomplished
  • Understand and maintain HIPAA regulations and required office forms while maintaining the patient confidentiality for all patient records

Minimum requirements:

Must have a high school diploma or equivalent. Use of professional language, both verbal and written, is necessary while communicating with patients, vendors, and staff. Previous experience in a receptionist role or front line customer service. Experience with an EMR/EHR medical system is preferred.

  • Proficient computer skills and knowledge of Google Suite, Apple Mac, Canva
  • Efficient problem solver, ability to work independently or as part of a team
  • Dependable and punctual
  • Manage multiple responsibilities with calm and ease
  • Coachability, ability to learn new tasks
  • Ideal soft skills: communication, relational equity, organization, technical skills, empathy, reliability
