General Overview
The regional chapter support staff are full-time positions that works within the Undergraduate Services Department; the positions provide guidance and support to the undergraduate chapters of the Sigma Chi Fraternity within their designated region while giving advance support and assistance to key volunteers in the region. Well-developed interpersonal skills of organization, communication, and time-management are essential. Interpersonal strengths -- including the ability to quickly develop working partnerships with a large number of volunteers, staff, higher education professionals, undergraduates and alumni -- are necessary to accomplish the objectives of the role. The position requires an individual that has the ability to be highly flexible and self-motivated in their work. Success as a regional chapter support staff member is built from a mature comprehension of the intersection between Sigma Chi values and a healthy understanding of the undergraduate experience, while providing continuity and stable, consistent support for the Sigma Chi chapters and leaders throughout the region.
Position Grades for Advancement
Regional Chapter Support Assistant: The Assistant will provide day to day administrative support to the Managing Director of Chapter Support while assisting the team through customer service, collecting feedback, data entry, preparing reports, and handling logistics as needed.
Associate Director of Regional Chapter Support: The Associate Directors will be responsible for serving as account managers for a region, managing a travel budget, delivering programming, and being a liaison between chapters, volunteers, university personnel, and the International Fraternity.
Director of Regional Chapter Support: The Directors are experienced staff members responsible for all associate director responsibilities with enhanced metric and program delivery expectations. The Directors will serve as knowledge experts in various functional areas for the team.
Senior Director of Regional Chapter Support: The Senior Directors are advanced staff members expected to be experts in most functional areas for the team and in program delivery. They will be responsible for all associate director and director responsibilities in addition to serving as mentors and assisting the Managing Director with team training, support, and metrics.
Each of the above Chapter Support positions will reflect an increasing base compensation level and responsibility expectations. A high level of performance and proficiency, as well as increasing qualification criteria, in one’s current position will be required for the employee to advance to the next position. Employees will be required to meet increasing performance evaluation criteria and expectations to remain in a higher position.
Responsibilities
Essential Functions
- Deliver and promote leadership and educational programs in connection with SCLI’s Transformational Leader curriculum with a focus on driving completion rates of the Foundational Leadership Certificate and related curriculum.
- Maintain expertise in Sigma Chi’s history with an emphasis on comprehension, application, and practice of the Sigma Chi Ritual and its values.
- Demonstrate familiarity with standard college and university operations, policies and trends impacting undergraduates and campus organizations.
- Provide administrative support for an assigned region of chapters, which will also be the primary area of travel and focus.
- Maintain and regularly update thorough assessments of assigned region and undergraduate chapters for the Managing Director of Chapter Support, making sure to update our database with completed chapter visit reports within 24 hours of completing the visit.
- Ensure adequate data is collected and processed to provide necessary reports and metrics for the Regional Chapter Support Program.
- Supports chapter-level strategic planning implementation and confirms the progress of stated goals through follow-up mechanisms.
Enhanced support and relationships with volunteer advisors and university staff
- Work closely with regional Grand Praetors to proactively assist undergraduate chapters with areas of chapter operations.
- Work closely with Chapter Advisors in the region to further enhance chapter-level relationships, develop more well-functioning and collaborative chapter Executive Teams, and encourage the advisors to cultivate a broad spectrum of assistant advisors to staff their advisory boards to help guide and support each chapter.
- Assist Grand Praetor in recruiting and training an engaged chapter advisory board that can help ensure the long-term success of the chapter.
- Facilitates constant and reliable collaborative communication among undergraduates, alumni, and university administrators on learning-based outcomes through development and reinforcement of the Sigma Chi brand identity.
- Increased emphasis on cultivating meaningful relationships with all volunteers and higher education staff focusing on more significant touchpoints and more meaningful interactions.
Additional Functions
- Packages and transports marketing and information materials.
- Attends and assists at Sigma Chi workshops and conferences including, Grand Council, Grand Chapter, and the summer Krach Transitional Leaders Workshop.
- Other responsibilities as assigned by supervisor.
Education and Experiential Requirements
- Bachelor’s degree.
- A minimum of 5 years of professional work experience is preferred.
- A background in the higher education industry is preferred.
- Experience delivering in-person and virtual educational, leadership development, or certificate-based curriculum preferred.
- Must be a member in good standing of the Sigma Chi Fraternity.
Minimum Qualifications (Knowledge Skills and Abilities)
- Exemplary customer service, interpersonal and verbal and written communication skills.
- Must be comfortable with and capable of presenting educational, leadership programs to groups largely consisting of undergraduate chapter officers and members.
- Adept at using virtual and remote meeting, communication, and presentations tools such as TEAMS, ZOOM and other similar platforms.
- Self-motivating, goal-oriented with a strong sense of initiative.
- Ability to prioritize projects and meet deadlines with personal initiative.
- Team-oriented philosophy with the ability to multitask projects and responsibilities.
- Detail-oriented, organized, persistent, and thorough.
- Proficiency with Microsoft Office Suite.
- Must live within the region that the employee is supporting.
- Available to travel for extended periods of time and have no limitations on overnight travel.
Physical Demands
- While performing the duties of this job, the employee must be able to adequately operate equipment such a computer, keyboard, mouse and similar machines.
- While performing the duties of this position, the employee may be subject to prolonged periods of light to heavy physical exertion over the course of 12–24-hour periods.
- Being able to lift, carry, and move packages, promotional material, and performance equipment weighing up to 50lbs.
Working Hours and Conditions
- Regional work based out of personal home in their region, with access to reliable internet and transportation.
- The Pacific Region is composed of California, West Texas, New Mexico, Arizona, Utah, Nevada, Oregon and Washington.
- Typical business hours are 8:30 a.m. to 5 p.m. Monday through Friday; but must be willing to work flexible and extended hours during peak business times and to accommodate undergraduate and alumni schedules.
- Frequent overnight and extended travel required within the region.
