We need you to join our team as a The Concierge & Administrative Services Manager:

The Concierge & Administrative Services Manager is responsible managing Concierge Services, maintaining office supplies, handling office related functions, serving as administrative support to the Executive Director/Director of Independent Living and ensuring an efficient and organized office atmosphere.

Essential Job Duties:

  • Oversees Concierge staff members community-wide.
  • Serves as administrative support to the Executive Director and Director of Independent Living. Screens persons requesting to see the Executive Director and Director of Independent Living and schedules appointments as necessary.
  • Sorts and routes Executive Director mail. Answers routine mail and returns telephone calls.
  • Maintains calendars and schedules, schedules appointments and coordinates the scheduling of events or meetings; makes travel arrangements as necessary. Calendars Leadership Team meetings.
  • Prepares and types meeting notices, minutes, and statistical information.
  • Assembles regular written, verbal and virtual correspondences to residents and associate on behalf of administration and as directed by supervisors.
  • Supervises the ordering of all office supplies, paper supplies, copy machine supplies, printed forms, etc. Meets budgetary requirements.
  • Compiles and maintains various master lists and systems, resident listings, resident directories, staff home phone numbers, resident away list, etc. Lists and systems are kept up to date.
  • Maintains resident confidentiality.

Other Duties:

  • Manages and monitors staffing overtime reports and completes payroll.
  • Notary Services
  • Holds Concierge staffing meetings on a consistent basis.
  • Holds in-service training and education sessions with Concierge Team.
  • Relieves Concierge Staff members on occasion and fills-in during open shifts and/or as necessary.
  • Manages community contracts and filing system. Maintains an organizational system for records and processes in the Business Office and Concierge services.
  • Creates timely tickets with the IT department for any technical related issues community-wide.
  • Creates and maintains a professional, organized businesslike office atmosphere at the Concierge Desk, Lobby Area and Administrative Offices.
  • Assists with welcoming visitors and/or residents, answers questions, handles inquiries and refers to proper departments.
  • Assists the Resident Council with typing as time permits.
  • Attends meetings and take minutes as requested.
  • Delegates tasks and initiatives to Concierge as needed.
  • Maintains work station and equipment in a safe and organized manner. Works in collaboration with the Director of Independent Living on Independent Living safety.
  • Performs other specific work duties and responsibilities as assigned by supervisor.

Qualifications:

  • Ability to communicate effectively in English. Able to perform simple mathematics and thorough knowledge and skill in typing and word processing.
  • High School graduate. Bachelor Degree preferred. Two years of general office management experience, some supervisory training helpful, but not required.
  • Ability to work under pressure, meet deadlines, be exacting in performance and work well without direct supervision.
  • Must display a courteous, friendly and helpful attitude toward the public.

Physical Requirements/Working Conditions:

Must be able to sit for up to 75% of the work day; must be able to stand and walk throughout the work day. Must be able to push and pull up to 50 lbs. unassisted. Must be able to lift up to 30 lbs. Must be able to bend and reach. Must have good manual dexterity for typing and operation of office machinery including computer. Requires continuous mental and visual attention to diversified operations.

Ability to commute/relocate:

  • Boca Raton, FL 33428: Reliably commute or planning to relocate before starting work (Preferred)

Experience:

  • Microsoft Office: 1 year (Preferred)
  • Administrative experience: 1 year (Preferred)
