Key Responsibilities:
- Customer Interaction: Greet all customers with a professional and friendly demeanor, ensuring they feel welcomed and valued.
- Call Handling: Answer incoming calls promptly and professionally. Determine the nature of each call and route it to the correct individual, ensuring that no inquiries go unanswered.
- Schedule Coordination: Coordinate and manage the daily schedules of staff, clients, or resources to ensure smooth operations.
- Appointment Management: Schedule and confirm appointments, ensuring no overlaps or errors.
- Conflict Resolution: Resolve conflicts or changes in scheduling with flexibility and professionalism, ensuring minimal disruption to operations.
- Record-Keeping: Maintain accurate records using scheduling software or systems. Ensure all data is up-to-date and accessible.
- Filing & Organization: Maintain a systematic filing system for both physical and digital records, ensuring that information can be quickly retrieved when needed.
- Handling Requests: Manage additional requests from management or staff, adjusting priorities as necessary.
Qualifications:
- Proven experience as a Scheduler, Administrative Assistant, or similar role is preferred.
- Strong Organizational Skills: Ability to keep schedules, records, and files meticulously organized.
- Excellent Communication: Clear, concise, and professional verbal and written communication skills.
- Proficiency in Scheduling Software: Experience with tools like Google Calendar, MS Outlook, or specific industry scheduling tools.
- Familiarity with CRM Software: Experience with Customer Relationship Management (CRM) tools to manage client and customer information effectively.
- Multitasking & Time Management: Ability to handle multiple tasks and manage time effectively in a fast-paced environment.
- Education: High school diploma or equivalent is required. Further education in administration or related fields is a plus.
