Soave Mechanical seeks an experienced Office Assistant to join the team. This role will perform routine clerical, secretarial and administrative duties, such as answering telephones, greeting visitors, providing customer assistance, as well as data processing and record keeping.
Essential Duties and Responsibilities:
- Develops and maintains office forms and procedures and assist with administrative tasks.
- Complete filing in a daily basis and accurately.
- Welcomes visitors and answers questions, in person and by telephone; responds to inquiries from employees, and inform employees of visitors’ arrivals and cancellations.
- Operates office equipment as necessary to include copier, computer/keyboard, telephone and fax.
- Prepares outgoing mail; sorts and distributes incoming mail.
- Create and maintain both electronic and hardcopy filing systems for the Mechanical Department.
- Composes, types and edits correspondence, reports, memoranda and other material.
- Dispatcher and warehouse duties.
- Receives materials and inventory.
- Maintains office supply inventory.
- Complete additional tasks assigned by HVAC Service Manager
