Job Overview
We are looking for a detail-oriented and proactive Part-Time Human Resources Specialist to join our team. This role oversees HR functions including contract administration, payroll approval, recruitment, onboarding, compliance, and employee relations. You will play a key role in supporting a growing, dynamic team while fostering a collaborative and inclusive culture. Key Responsibilities
Employee and Contractor Support:
- Administer contracts for W2 employees and 1099 contractors, ensuring accuracy and timely execution.
- Manage contract administration, ensuring accuracy and timely execution.
- Serve as the point of contact for all contract-related questions and negotiations.
- Ensure all contracts are signed before work commences, following up as necessary.
- Update contracts to reflect pay increases, promotions, and other changes.
Payroll Data Accuracy:
- Approve payroll, ensuring accuracy and resolving discrepancies.
- Track and verify workforce hours (W2 and 1099), PTO, and deductions for payroll processing.
- Collaborate with the Financial Specialist to provide timely and accurate payroll data.
- Manage employee benefits enrollment and respond to related inquiries.
Recruitment and Onboarding:
- Manage job postings on LinkedIn and the company website.
- Screen candidates and coordinate interviews with hiring managers.
- Oversee general onboarding for new employees and contractors, serving as the main point of contact for questions regarding company culture, policies, and procedures.
- Facilitate the onboarding process for new W2 employees, including:
- Coordinating with the Financial Specialist to ensure compliance with state-specific requirements.
- Updating the company’s insurance policy to include new states as needed.
- Sending invites to programs such as Gmail, Canva, Slack, and Monday.com.
Offboarding Process:
- Manage the offboarding process for 1099 contractors and W2 employees, including:
- Revoking or transferring access to accounts and programs.
- Forwarding emails from disconnected accounts to the reporting manager.
- Collecting laptops or other company equipment.
- Conducting exit interviews to gather feedback and provide closure.
- Facilitate official termination notices by delivering termination communications both in writing and via a call, ensuring professionalism, clarity, and compliance with company policies and state regulations.
- Providing letters of recommendation when appropriate.
- Ensuring compliance with state-specific regulations.
- Overseeing unemployment documentation and communication for terminated employees, if needed.
Compliance and Employee Relations:
- Collect and maintain Certificates of Insurance (COIs) for all 1099 contractors.
- Ensure compliance with federal, state, and local employment laws and regulations.
- Oversee PTO and leave approval process, maintaining accurate records of accrued time.
- Track and report HR metrics such as turnover rates, hiring timelines, and employee satisfaction scores.
- Develop and implement strategies to enhance company culture, employee retention, and overall satisfaction.
Asset Management:
- Track company equipment and oversee the collection of equipment from departing employees or contractors.
Administrative and Event Support:
- Organize team events such as monthly virtual activities, manager’s meetings, and holiday parties, including but not limited to:
- Booking flights, rental cars, and accommodations for attendees.
- Coordinating food catering and restaurant reservations.
- Preparing and sending any employee materials, products, or supplies needed for meetings or events in advance.
Qualifications
Requirements:
- Must be located in Utah, USA.
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 2-3 years of experience in human resources, preferably in a small business environment.
- Strong understanding of HR practices, employment laws, and regulations.
- Proficiency in HR software, including QuickBooks Online and Workforce.
- Excellent organizational, communication, and time-management skills.
- Ability to work independently and maintain confidentiality.
Preferred:
- Experience managing HR for a remote workforce.
- Knowledge of employee engagement tools and strategies.
- Experience in event planning or logistics management.
- SHRM-CP (Society for Human Resource Management Certified Professional) or PHR (Professional in Human Resources) certified
