Finance Manager

What You'll Do
Bookkeeping & Daily Operations
- Make deposits
- Enter daily credit card transactions quickly and accurately.
- Pay open invoices on time and maintain reliable payment records.
- Provide change and replenish petty cash to keep our museum humming.
- Deposit checks, order supplies, and make sure our finances are always on track.
- Process payroll through a payroll service twice a month and record key payroll entries.
- Handle donations—including counting and depositing funds from our donation boxes.
Monthly Tasks
- Prepare and collect timesheets for monthly payroll.
- Reconcile all bank accounts to ensure everything matches up.
- Enter journal entries for cost of goods sold (COGS).
- Print and share clear, comprehensive monthly financial statements.
- Pay and track sales tax for the museum’s activities.
Quarterly Responsibilities
- Prepare and submit quarterly grant reports, including compiling supporting documents and reconciliations.
Year-End Duties
- Collaborate on annual budget preparation and set up financial files for the new year.
- Manage annual 1099-Misc forms and other filings.
- Organize and archive physical and digital financial records.
- Prepare all necessary accounting documents for our CPA firm before the yearly audit.
Audit & Compliance
- Lead the charge for our annual financial audit—work closely with auditors and ensure everything is in order.
- Make sure the museum complies with all federal, state, and local regulations.
Festival & Fundraising Support
- Be a vital part of our biggest annual events—Weihnachtsmarkt and Wurstfest—by managing event budgets, tracking financials, and supporting event bookkeeping.
- Reconcile all event revenue and expenses, helping the museum make the most of these vibrant community traditions.
Qualifications
- Associate’s or Bachelor’s degree in Accounting, Finance, or a related field preferred.
- At least three years’ experience in nonprofit or museum finance/bookkeeping.
- Proficiency in QuickBooks, MS Excel, and everyday office software.
- Strong organizational and communication skills.
- Experience with payroll, financial statements, and grant reporting.
- Ability to master multiple projects and deadlines—especially during festival fun!
Work Environment
This is an onsite position with a consistent Tuesday–Friday, 10am–4pm schedule. You’ll work in our friendly office and seasonally on-site at our signature festivals.
