Job Description
Under general supervision, the Academic Advisor at SCC serves as a member of a professional team providing comprehensive advising services for our students, parents, high school counselors and other stakeholders regarding multiple areas including program major choices, curriculum, course placement, enrollment procedures, business office policies, transfer policies and financial aid. In collaboration with the Director, this position develops and monitors a comprehensive plan to ensure continuous improvement and serves as an organizational and team lead for assigned academic programs and student populations, ongoing activities, services, and work groups. This position works effectively with Student Affairs offices, faculty, and academic departments to meet the goals and objectives of the office, division, and institution as well as participates in program and event development and serves on college committees.
PRINCIPLE RESPONSIBILITIES AND RESULTS
1. Provide comprehensive academic advising to new, current, and returning students.
Interpret SCC , Minnesota State, and federal policies and guidelines and translate them into advising procedures, processes, and services. Assist with long-term academic and program planning with department chairs and faculty through active collaboration. Academic plan tracking and adjustment. Academic/educational interests and program suitability. Review Financial Aid timelines and processes, discuss possible impact to student account, and provide advocacy on behalf of the student if needed. Utilize ISRS to document student appointment notes. Meet individually with returning students for scheduled appointments to evaluate program requirements and register for courses, and assess required next steps for students to successfully return. Use knowledge of college curriculum and policies to advise current students in the selection of appropriate developmental and academic courses and troubleshoot/problem-solve issues with students to overcome achievement barriers during scheduled appointments, drop-in advising and/or assisting at the front desk.
Identify at-risk students and develop and implement academic recovery plans and strategies to improve student retention and successful completion of their academic programs, to include GPA and completion rate calculations and projections. Support students with a reported FN, FW and/or W grade or with an active Student Alert through timely student follow-up to discuss academic progress concerns, student resources/options, and potential outcomes. Advise students with an active warning/probation/suspension status regarding college academic and financial aid policies. Advocate for individual student hardships by explaining and assisting with the appeal and/or petition process.
Guide students through college-wide services and refer to college/community resources when appropriate, for example, referrals to counselors for career exploration, mental health support, and personal life issues. Respond to program-specific phone calls and online/email inquiries related to academic advising. Facilitate transfer planning by utilizing student transcripts, Transferology and other resources. Address additional advising concerns with specific student populations including: single parents, displaced workers, Veterans, ESL students, and non-traditional students
2. Plan and implement supportive activities and events related to course placement, academic, career, financial aid and transfer.
Coordinate and facilitate Accuplacer testing at SCC , area high schools and Adult Basic Education ( ABE ). Ensure compliance with SCC , Minnesota State and College Board policies when implementing Accuplacer testing, protocols and setup. Interpret assessment scores for course placement using SCC Course Placement Chart and provide resources and/or referrals to ABE if needed. Use professional judgement when determining registration advanced overrides. Identify career and educational options and requirements to maximize student achievement, retention, persistence, and educational goal attainment. Plan and implement retention activities. Coordinate and facilitate Advising & Registration (A&R) sessions for new and returning students. Advise students in A&R sessions regarding appropriate first semester course selection; how to read and follow the degree audit and importance of scope and sequence of courses; assist students through check out sequence to ensure they know where to find important information and sign up for critical services like email, STAR ALERT , test messaging, etc. Support the coordination of the Post-Secondary Enrollment Option ( PSEO ) program through submission of paperwork to the Minnesota Department of Education, collaboration with high school counselors and advising of PSEO students regarding course selection and college policies.
3. Maintain a thorough understanding of college policy, procedures, programs, curriculum, and services to give accurate information concerning admission, registration, and progress towards graduation and/or transfer.
Maintain a thorough understanding of college programs, credit for prior learning, curriculum, policies, procedures, forms and website services to give accurate information to students. Provide accurate and timely information to students using the appropriate means of contact. Ensure college data integrity, reliability and accuracy of student records. Identify and help resolve student record data integrity issues. Maintain the confidentiality of student information in compliance with FERPA . Organize and prioritize tasks to meet department deadlines in a high-traffic environment. Represent self and college within the community in a professional manner. Improve professional development through participation in local, regional and annual conferences/meetings/webinars. Memberships in professional organizations like NACADA .
Required Qualifications
Bachelor’s Degree in related field
One year or more experience in a related education position
Ability to maintain the confidentiality of student information to comply with laws, rules, policies and procedures.
Experience speaking to small and large groups
Ability to multi-task and organize, prioritize, and follow multiple projects and tasks through to completion with an attention to detail
Ability to work independently while contributing to team environment
Ability to analyze problems, identify solutions and take appropriate action, resolve problems using independent judgment and decision-making processes
Preferred Qualifications
Master’s Degree in related field
One year or more advising, admissions or registration experience within a Minnesota State college or university
Knowledge of South Central College policies, procedures, programs, curriculum, services, and resources
Experience working with student record systems and specialty software such as ISRS , DARS and ImageNow
Knowledge of student development theory in higher education
Multilingual (spoken and written)
