JOB SUMMARY: The Patient Service Clerk performs medical and dental front desk complex
Clerical duties following established policy and procedures, white maintaining confidentiality of all clients' protected health information.
Receptionist /Appointments
Answer all incoming calls with proper telephone etiquette; professional, credible, pleasant, and in a timely manner
Shall take messages and direct to appropriate staff
Schedules appointments according to appointment desk policy. Reschedules canceled or no show appointments, when needed.
Maintain Daily Log/Sign-in sheet.
Pull charts one day prior to the visit.
Pull charts for audits as requested.
Review mail correspondence daily.
Shall stay until the last patient is seen, with proper authorization from the Immediate Supervisor Incoming faxes and distribute accordingly, all results/records request must be scanned in to chart for review by provider daily.
Registration/ Eligibility
Shall be responsible for the accurate information on registration forms, registering patients according to policy.
Verify client has current Consent to Treatment, Patient Centered Rights and Responsibilities and Privacy forms. If not, update and scan into the practice management system.
Shall be responsible for the complete and accurate information for all DSHS/HHSC programs eligibility forms and update as needed.
Verify insurance eligibility one day prior to appointment and/or on date of service.
Ask client for insurance information and ensure information is correct in the practice management system. If information is incorrect and/or missing, properly enter and scan information into practice management system.
Shall disseminate promotional organizational pamphlets to new clients
Shall participate as requested in Community Organizations; Health Fairs, etc. Shall update phone/address in Next Gen at every visit
Medical Records
- Shall file charts.
- Shall process medical records request/ release.
- Shall be responsible for recall system.
- Shall audit charts, as needed.
- Scans clients' documents into Practice Management System and/or Electronic Health Record (El-IR) accordingly.
Billing/Collections
Responsible for creating and balancing batches
Responsible for collecting payments. Follow personal check policy.
Provide receipt for client when payment is received.
Check-out client in the practice management system.
Posts charges in the Center's practice management system after services have been rendered. (If applicable)
Inform client of any outstanding balance and collect.
Responsible for the accurate completion of all encounters, including reconciliation of all daily open encounters.
Responsible for the security of all money within the work area.
Prepare deposit at the end of the day following the cash control policy.
Correct any errors on all copies of encounters returned from Billing Department no later than one day.
Submit Encounters by Scanning all credit card receipts, checks, and daily deposit form. Scan encounters at end of day.
Experience
- Preferred some medical and dental knowledge and skills.
- Preferred Bilingual (English and Spanish)
- Courteous to clients and working staff
- Strong Computer Skills
- High School Diploma or GED Equivalent
OTHER
- Must be able to travel, have reliable transportation, a valid Texas Driver's License and current auto insurance.
- Must be willing to follow directives both verbal and written.
- Keeps working area clean and organized.
- Attends and participates in staff development trainings.
- Assist in the training of other employees as needed.
- Keeps supervisor informed of departmental issues.
- Performs other duties as assigned by Immediate Supervisor and/or CEO.
