Office Manager Job Description
General Summary of Duties: Greets, instructs, directs and schedules patients and visitors. Serves as a liaison between patients, medical support staff and medical providers. Oversees staff, conducts business relative to staff scheduling, interviewing and office meetings. Maintains high level of confidentiality and professionalism with staff, patients and outside business entities.
Physical Demands: Work may require sitting for long periods of time; also stooping, bending and stretching for files and supplies. Occasionally lift files or paper weighing up to 30 pounds. Requires manual dexterity sufficient to operate a keyboard, type at 60 wpm, and operate office equipment as necessary. Requires normal visual acuity and hearing.
Daily Duties and Responsibilities:
- Schedule and confirm appointments (or as needed for coverage).
- Check patients in and out (or as needed for coverage)
- Verify insurance (or as needed for coverage).
- Collect copay/deductible/previous balances (as needed for coverage).
- Verify patient address/phone/insurance info (or as needed for coverage).
- Answer phone/write messages/call patients back with replies.
- Take deposit to bank (if site indicates this responsibility).
- Sort mail/take larger envelopes to post office (or designated staff).
- Compliance Training instructor.
- Order office/cleaning supplies (or send request to designated staff).
- Contact outside sources for repairs/cleanup.
- Oversee accounts payable (or as designated by CFO).
- Lead monthly staff meeting/minutes.
- Assist administration with staffing.
- Update Rural Health or FQHC (Federally Qualified Community Health Center) Procedures Manual.
- Safety and Education Coordinator – present safety information/fire drills/ coordinate building inspections/fire extinguisher recheck/ coordinate fire extinguisher demonstration/ coordinate equipment electrical checks, and schedule staff education sessions.
- Create employee schedule.
- Copy Medical Records for insurance companies and other physician’s offices (or send request to designated staff).
Performance Requirements
- Requires 2 years' experience in medical facility with business background, or equivalent experience approved during interview process.
- Knowledge of business office procedures.
- Knowledge of grammar, spelling, and punctuation to type patient information.
- Ability to operate computer and other office equipment.
- Skill in greeting patients and answering the telephone in a pleasant and helpful manner.
- Ability to speak clearly and concisely.
- Ability to read, understand and follow oral and written instructions.
- Ability to sort and file materials correctly by alphabetic or numeric systems.
- Ability to establish and maintain effective working relationships with patients, employees, and the public.
Additional Duties as Assigned:
- MA/Scribe
- Unlock patient accounts as needed for receptionist.
Salary : $45,300 - $57,300
