We are looking for a responsible Administrative Assistant to join our Corporate offices in Fallbrook, CA. This position will perform a variety of administrative and clerical tasks including providing support to Ownership and Senior Management, as well as assisting with daily office needs and managing our company's general administrative activities. This is a full-time role working Monday through Friday (general business hours)
Roles and Responsibilities:
- Greet and direct incoming visitors in a friendly and courteous manner.
- Perform general clerical duties including but not limited to photocopying, faxing, record maintenance, scanning, emailing, and filing.
- Answer phone calls promptly and direct calls to appropriate parties. Use good judgement to prioritize the distribution of messages in a timely manner.
- Maintain front desk procedures including providing callers with contact information, directions and addressing frequently asked questions.
- Maintain inventory of all office supplies across all locations and ensure adequate levels are in stock, at all times.
- Receive and distribute incoming mail and packages.
- Ensure interoffice mail and packages are received and sent in a timely manner, via internal employees of via outside couriers.
- Perform routine record maintenance including DMV pull notice requirements and vehicle registrations. Process DMV related documents as needed.
- Maintain current permits, licenses, etc. by location.
- Maintaining fleet registration, permits etc.
- Coordinate corporate vendors including but not limited to shred company, trash and Amazon.
- Provide administrative support to Ownership and Senior Management.
- Prepared ad-hoc detailed reports as needed.
- Set up appointments and arrange meetings as needed.
- Responsible for coordinating events such as bi-weekly payday breakfasts or company lunches.
- Other duties as assigned.
Education and Experience:
- High school diploma, GED, or equivalent
- 2 years prior experience in similar office role
- Proficient with Microsoft Office software a plus (Excel, Word, PowerPoint, Outlook)
