What are the responsibilities and job description for the Receptionist position at SPCA Albrecht Center for Animal Welfare?
This is a 25-hr/week part-time position, working 12pm - 5pm Tuesdays-Saturdays.
As the Front Desk Receptionist, excellent customer service will be your priority. The daily goal is to provide a positive experience to anyone who calls, emails or visits the adoption center. In addition, provide accurate information to those same people as well as staff members regarding adoption applications, surrenders, and other related information; keep the front desk area neat, clean and organized and provide a range of administrative tasks as needed.
Position Responsibilities:
· Respond in a thoughtful and informative way to all emails, phone calls and in person questions.
· Provide high standard of customer service and create a positive and customer friendly environment.
· Politely greet everyone who comes into the adoption center and ensure they are helped and attended to.
· Assist adopters with adoption applications and donor forms.
· Process payments (cash, check, credit card) and provide receipts.
· Ensure all donated items are properly put away.
· Forward all adoption applications, surrender requests, and foster inquires to appropriate staff.
· Help promote the mission of SPCA Albrecht Center, the work we do, and encourage support through donations, adoptions, volunteering and utilizing vet care services.
· Direct waiting visitors to our information material (volunteer program, Vet Care Center info, etc.)
· Field questions customers may have while waiting or direct them to staff who have the answer.
· Help connect adopters to proper staff for questions and concerns.
· Help maintain a clean and functional work environment by keeping desks and counters free of clutter, wiping down surfaces as needed and keeping office supplies within reach.
· Maintain accurate and complete files and records on the animals in our care.
· Input data into shelter and veterinary software systems.
· Clean adoption areas as needed when we are short-staffed.
Qualifications:
· Understanding and support of our organization's mission and values, both on and off the job;
· Strong oral and written communication skills;
· Basic office technology and computer skills (Microsoft programs, Gmail, Google search, social media);
· High School Diploma or equivalent;
· Must be able to pass pre-employment drug testing and background checks;
· Previous front office experience preferred;
· Previous customer service experience preferred;
· Flexibility to work weekends, holidays, and overtime as needed.
