We partner closely with physicians, attorneys, and claims professionals to ensure accurate scheduling, documentation, and case coordination. Spectrum Eval is seeking an experienced IME Coordinator to support the coordination and administration of IMEs in a fast-paced med-legal environment. This role is open to candidates located anywhere in California or Texas and may be performed remotely, hybrid, or in-office, depending on location and preference.
This position is well suited for candidates with prior experience working with IMEs, QMEs, or expert witness physicians who are familiar with timelines, documentation requirements, and multi-party coordination.
- Coordinate and schedule IME appointments based on physician availability and case requirements
- Serve as the primary point of contact for physicians, attorneys, claims administrators, and examinees
- Coordinate internally to ensure communication and workflows are aligned
- Confirm appointment details, locations, and reporting timelines
- Track IME cases from scheduling through report completion
- Monitor deadlines and ensure timely follow-up
- Communicate updates, confirmations, and changes clearly and professionally
- Manage reschedules, cancellations, and time-sensitive adjustments
- Support physicians by handling administrative logistics
- Assist with internal reporting and case tracking
- Represent the organization professionally at attorney-centered events when applicable
- Prior experience coordinating IMEs, QMEs, Expert Witness or med-legal evaluations strongly preferred
- Experience working in a physician’s office, med-legal group, or attorney firm
- Familiarity with physician workflows, record review processes, and reporting timelines
- Strong organizational skills and attention to detail
- Clear written and verbal communication skills
- Ability to manage multiple cases in a high-volume environment
- Proficiency with scheduling systems and standard office software
- Bilingual (Spanish/English) is a plus
- Remote candidates based in California or Texas are welcome
