SUMMARY : This full-time project-related (temporary) position . The Enrollment Assistant provides critical support to the Tribal Enrollment Office by maintaining and organizing enrollment files and assisting in the completion of documentation. This position requires a detail-oriented, professional, and compassionate individual who can handle sensitive information with discretion and maintain a high level of confidentiality.
ESSENTIAL DUTIES AND RESPONSIBILITIES : Include the following.
- Assist the Enrollment Officer in maintaining accurate and up-to-date enrollment records and files.
- Support the completion of pending enrollment files by gathering necessary documentation, including birth certificates, family trees, and DNA testing results.
- Assist in the creation of Squaxin Identification cards
- Interact with Tribal Members and families to provide information and assistance regarding enrollment processes and requirements.
- Request documents from external entities such as other tribal nations to complete and verify enrollment applications.
- Review enrollment applications for accuracy and completeness, ensuring all necessary documentation is included.
- Conduct follow-ups with applicants and relevant parties to resolve incomplete or missing information.
- Assist in scheduling appointments and managing communication related to enrollment inquiries.
- Provide general administrative support to the Enrollment Office, including filing, data entry, and correspondence.
- Access and update files by working with Tribal Members to acquire missing data and accurately enter data into Progeny database.
- Proofread own work for errors.
- Other duties as assigned.
SUPERVISORY RESPONSIBILITIES : This position has no supervisory responsibilities.
QUALIFICATIONS : To perform this job successfully, an individual must be able to perform each essential duty. EDUCATION and / or EXPERIENCE : Associates of Arts degree in relevant field and one year of relevant experience OR High School diploma and 3 years’ experience in a relevant field.
LANGUAGE SKILLS : Ability to read and interpret documents and understand assigned tasks.
MATHEMATICAL SKILLS : Ability to add, subtract, multiply and divide in all units of measure, use whole numbers, common fractions and decimals. Ability to compute rate, ratio, and percent, and to draw and interpret bar graphs.
REASONING ABILITY : Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
CERTIFICATES, LICENSES, AND REGISTRATIONS : Must have valid Washington State Drivers’ license and be insurable.
