Job Posting Title: Executive Assistant Location: Dallas - Hospital Additional Posting Details: Monday-Friday 0730-4:0 Job Description: Duties/Responsibilities Greet all guests, answer Development Department phones, and relay messages in a warm and helpful manner Manage calendar/schedule for VP of Development Schedule appointments, meetings, and luncheons, and assemble gift bags, as needed Document all details/actions from phone calls, luncheons, patient visits and encounters in Raiser’s Edge as soon as possible, post-encounter Open and prioritize incoming mail and route departmental information Process and log monetary and non-monetary donations for Business Office pick-up upon receipt Create quarterly donations report on a monthly basis for inclusion in Cornerstone publication for Trustees Create and maintain department files and records Make travel arrangements and process related expense reports in appropriate system for VP of Development; produce invoices Complete registrations for various professional groups, organizations, seminars, and conferences Coordinate with media to produce large donor checks and facilitate check displays in atrium Prepare purchase requisitions and other WorkDay activities Research various databases and Internet websites for donor information, background, and history Produce and update Underwriting reports for all internal golf tournaments Coordinate the ordering, placement, and donor communications for Engraved Brick Program Submit names of estate donors to be engraved on the Statue in Jas Chambers Park; coordinates placement of names and engraving with outside vendor Produces monthly donor Birthday cards at least 6 weeks prior to the month Required Skills/Abilities Associate or Bachelor's degree required Organized, detail-oriented, and able to multitask Proficient in Microsoft Word and Excel Mastery of executive office skills and etiquette Strong communication and interactional skills Excellent writing, composition, and proofreading skills At Scottish Rite for Children, we work together with the common goal of helping give children back their childhood.
