Responsibilities
Responsible for greeting patients, communicating with departments, scheduling appointments, answering phones, receiving payments, verifying necessary information and records in the medical record. Provides information to patients so they may fully utilize and benefit from the clinic services.
1. Greets patients in polite, prompt, helpful manner and provides any necessary instructions/directions. Informs appropriate department of patient`s arrival.
2. Answers phone in pleasant manner and routes calls, takes messages, responds to questions and deals with patients needs expeditiously.
3. Schedules follow-up appointments, and contacts no-show and canceled appointments to reschedule to ensure that no patient is lost to follow-up.
4. Verifies and updates patient information at each encounter with patient.
5. Collects copays, bad debts and prepays as specifies in the system at time of patient check-in. Issues receipts.
6. Obtains patient forms, consents, signatures as needed to keep patient's records up to date.
7. Collects and enters patient's insurance information into database.
8. Obtains referral information is necessary for patient's appointment. Ensuring proper authorizations are obtained before patient is seen in the office.
9. Assembles patient's charts for the next day visits, ensuring records from other offices have been received and scanned into patient's chart.
10. Processes medical records requests from offices and other entities.
11. Responsible for obtaining approvals through patient's insurance company for in/out of office procedures and surgeries.
12. Schedules surgeries, outpatient appointments and admissions per providers requests.
13. Handles all workers compensations and FMLA authorizations, eligibility for patient's appointments.
14. Responsible for collecting any co-insurance, deductibles, and cash payments for surgery/office procedures before services are rendered.
15. Maintains established par levels and places orders for supplies needed for office needs.
