Legal Assistant
Job Description/Duties:
Serves as legal assistant responsible for supporting Assistant United States Attorneys (AUSA). Performs varies legal assistance and office support. Tasks are procedural in nature and have many prescribed guidelines and precedents to determine appropriate course of action. Initiate and compose standardized legal documents needed for specific legal actions. Process legal instruments by checking them for required information, determining if any treatments such as simple computations are necessary and routing the assembled materials to a technical expert for evaluation. Locate and compile information from files, maintain docket calendars and tickler systems, coordinate schedules with court clerks, remind attorneys of court appearances and deadlines for submitting various actions or documents and notify witnesses of appearances and of changes resulting from suspensions or settlements. Conduct legal research on past court decisions. Establish, manage, maintain, and close case files.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Legal Support - Based on specific requests and instructions, processes a variety of legal documents which are relatively routine or straightforward in content and format. Reviews incoming material and, based on established policy and procedure, determines the need for assembly and preparation of a variety of legal documents, e.g., complaints, motions, orders, answers, pleadings, subpoenas, and libels. Obtains needed information from files or general reference sources and submits completed legal documents to the appropriate AUSA. Completes simple aspects of recurring legal documents in conformance with the rules governing their style and format. Develops and types of tables of contents and indices to briefs in accordance with established format. Lists cited cases, opinions, and miscellaneous references in briefs. Uses previously established form or sample letters to meet immediate needs that do not require legal interpretations but do require a limited knowledge of legal procedures and specialized terminology, e.g., transmittal of pleadings, requests for extensions of time in certain cases, advising of actions taken or developments in cases referred by other federal departments and agencies, and notices to attorneys representing defendants.
- Case Management – Using a variety of office software, provides automated litigation assistance to attorneys by preparing charts and other materials relating to trial preparation and presentations. Produces a variety of written documents utilizing a range of office automation software. Retrieves required information from various files and records and prepares legal documents with complicated formatting. Ensures proper spelling, punctuation, capitalization, and grammar. Consults with document author to resolve questionable material.
- Administrative Support – Receives visitors and telephone calls. Schedules appointments, meetings, engagements, and conferences. Receives and reads incoming correspondence and forwards each item to the appropriate AUSA or to other staff based on a knowledge of the duties and functions of the office. Maintains a variety of legal and general office files. Reads, screens, and controls incoming mail. Reads outgoing correspondence for procedural and grammatical accuracy, format, and presentation. Brings errors to the attention of the writer. Searches files for material used in a variety of recurring reports. Assembles file data or secures data from staff members into the proper format based on the purpose and nature of the report. Makes travel arrangements.
