Position Overview

The Illinois Department of Corrections is seeking a dedicated Office Coordinator to perform technical office support functions for Jacksonville CC, Pittsfield Work Camp and Greene County Work Camp.

They will assist in regulating, monitoring, and processing information and documents regarding sentence calculations and ensure accurate input of Offender 360 (O360) data.

In addition, they will verify information on the Record Office Release Checklist to ensure accuracy, maintain Prisoner Review Board docket / release cards, keyboard a vareity of correspondence, and serve as institutional audit team member.

This person will need to have strong attention to detail, integrity and ability to effectively communicate with multiple parties.

Job Responsibilities

  • Performs technical Record Office support functions for Jacksonville CC, Pittsfield Work Camp and Greene County Work Camp including the calculation of Earned Program Sentence Credit, encompassing a knowledge of applicable statutes, appellate mandates and increments of time are awarded.
  • Assists In regulating, monitoring, and processing information and documents regarding sentence calculations.
  • Ensures accurate input of Offender 360 (O360) data for appropriate time awards, time revocations, projected release dates, and mandatory release dates.
  • Verifies the information on the Record Office Release Checklist with O360 to ensure accuracy.
  • Maintains Prisoner Review Board docket / release cards and prepares the monthly docket for the Prisoner Review Board hearings.
  • Keyboards correspondence in response to inquiries regarding credits earned applying knowledge of process and procedures used to calculate credits.
  • Serves as institutional audit team member, conducting accurate, timely internal audits.
  • Performs other duties as required or assigned which are reasonably within the scope of the duties enumerated above.

Minimum Qualifications

  • Requires knowledge, skill, and mental development equivalent to two (2) years of secretarial / business college, OR completion of high school AND two (2) years of related office experience, OR two (2) years of independent business experience.
  • Requires ability to keyboard accurately 30 words per minute.

Preferred Qualifications

  • Prefers at least one (1) year of experience working in a corrections Records Office.
  • Prefers at least two (2) years of experience working with Microsoft Excel, Word and Outlook or similar computer software.
  • Prefers at least two (2) years of experience utilizing basic mathematics in computations in a work setting.
  • Prefers at least two (2) years of experience working with a data entry program.
  • Prefers at least two (2) years of compiling and processing reports.

Conditions of Employment

  • Requires ability to pass the IDOC / IDJJ background check.
  • Requires ability to pass a drug screen. The use of unauthorized drugs by an employee, regardless of the position held, is prohibited.
