ELECTIONS COORDINATOR
The Office of the Lieutenant Governor oversees elections throughout the state and informs Utah’s voters of the election process. In addition to these duties, the Office also administers notary public commissions, document authentication, city and town incorporations, lobbyist regulations, boundary certifications, and campaign finance disclosure compliance. The Office is looking for a dedicated individual to serve as an Elections Coordinator responsible for managing election responsibilities and special projects. Those responsibilities will include updating websites, coordinating with vendors, working with assigned county clerks throughout the state to ensure their needs are met, providing training and presentations to county and city officials regarding election laws and processes, and helping with the day-to-day administration of the Lieutenant Governor’s Office.
The position is also responsible for managing special projects related to election administration. Projects are “as assigned,” but they may include helping with official election communications, implementing new legislation, or compiling data sets. In addition to working closely with the elections team to perform election tasks, the position will work directly with vendors, state agencies, local election officials, nonprofits, and constituents.
This position will work within the state elections office, which is responsible for fulfilling the lieutenant governor’s statutory duties. Although this position is career service exempt, the job is not political and will not be involved in any political campaign.
POSITION RESPONSIBILITIES (Subject to change depending on the needs of the office)
Printed and Digital Materials
- Develop effective informational and instructional materials that will be distributed to voters, candidates, and local election officials. These materials may include:
- Voter information pamphlets
- Postcards
- Posters
- Candidate manuals
- Instructional videos
- Website guides
- Election certificates and letters
- Various applications and forms
- Manage the procurement, printing, and distribution of printed materials and adhere to strict deadlines. The individual will need to coordinate multiple vendors to ensure that deadlines are met
- Ensure that materials and their instructions accurately reflect state and federal laws
Voter Outreach
- Coordinate with vendors to develop a voter outreach strategy and approve proposed marketing materials
- Help to create and implement a social media strategy for the elections team (@ElectionsUtah)
- Create infographics or charts related to proposed legislation
- Updating voter statistics and generating data reports
- Create and implement training, guides, and other helpful documents regarding election laws and processes
- Travel and meet with assigned county clerk offices and help them assess their needs to better meet their statutory duties
- Provide training and presentations to county officials and city recorders
- Present office policies to legislative committees
- Act as a backup for other election tasks and duties
- Work additional hours on election days (approximately two to three days per year)
- Work additional hours on or around statutory deadlines or various situations arise needing attention
- Statewide travel with overnight stays arise 3-4 times per year
- Answering questions from the public (generally through email and phone)
PREFERRED QUALIFICATIONS
- Bachelor’s Degree
- Experience in publication design and with software programs such as Microsoft Publisher, Adobe InDesign, Adobe Illustrator, Canva, or a similar products
- Excellent communication skills—both written and verbal—with the ability to simplify and explain complex and technical concepts through both written and spoken communication
- Ability to read and understand legal text and documents
- Ability to conduct yourself professionally in settings with state legislators and county/city officials
- Knowledge of Utah’s election laws and processes as found in Utah Code 20A
- Ability to multitask and prioritize projects in a fast-paced work environment
- Experience working in a professional office environment with excellent customer service skills
- Knowledgeable about the process of creating and passing meaningful legislation
ADDITIONAL INFORMATION
- Available to work from 7:00 am - 10:00 pm on approximately two to three days per year.
- Available to travel and stay overnight, approximately 1-2 nights per quarter, often in rural Utah.
- Typically the job is open to working remotely 2 days a week, although some weeks that may not be an option such as during the legislative session or the weeks leading up to the election, etc.
- This position is full-time (40 hours a week).
