Position Summary
This position is a customer-facing opportunity to provide our community members and guests with prompt and courteous customer service. This will include processing registrations for activities; collecting payments and issuing receipts; verifying resident status; checking out supplies and equipment and advising residents of rules, regulations, and general information. You will ensure that all programs and services are conducted and fulfilled in a manner consistent with the goals and objectives of the Sun City Lincoln Hills Community Association and provide an excellent customer experience.
Key Responsibilities
- Serve as a primary point of contact for the Association by interacting with residents and members of the public in a friendly, professional, and receptive manner. Review monthly Compass information to provide accurate information regarding department activities and answer general Association inquiries. Refer questions to appropriate department personnel as needed. Maintain familiarity with available resources including the community website, ARC, Compass Advertising, Catering, and Spa services.
- Register residents and guests for special events, trips, classes, and programs using computer software, registration forms, and liability releases. Collect all forms of payment, issue proper receipts, provide waivers and supporting documents, and process refunds or exchanges according to established guidelines.
- Complete endofshift and endofday reporting, including balancing receipts to accounts and sales, and preparing deposits.
- Prepare scheduled deposits for the Kilaga Springs and Orchard Creek Lodges and verify contents for bank pickup, follow standard procedures for record creation and bank transfer preparation, and immediately report discrepancies to management.
- Verify participant eligibility to ensure individuals are residents or resident guests prior to enrollment.
- Perform Guest Services rounds by walking hallways and room corridors to visually observe activities, ensure resident safety, confirm rooms are clean and properly set up, and verify schedules are maintained. Issue repair work orders as needed and ensure promotional materials are current and properly displayed.
- Perform clerical duties including telephone support, data entry, word processing, faxing, photocopying, key and rental item distribution, wheelchair signout, office supply requests, filing, and sorting. Maintain lost and found records and enforce regulations related to resident classified advertisements.
- Interpret and prepare information using PowerPoint to create hall signage.
- Maintain valid CPR/AED and First Aid certification (renewed every two years). Respond to emergencies as needed and complete incident reports.
- Attend and participate in monthly staff meetings. Review daily communications and Association updates through Daily News, eNews, and email.
- Work at any Activities location and be available for extended hours, including days, evenings, weekends, and holidays as required.
Required Qualifications
- High School Diploma or GED required.
- Ability to communicate clearly and effectively in spoken English.
Preferred Qualifications
- Minimum of one (1) year of experience in a customer service environment preferred.
Knowledge, Skills, and Abilities
- Must be able to work flexible hours, including evenings, weekends, and holidays, as required by departmental and community needs.
- Ability to operate standard office equipment.
- Ability to interact with a diverse population while remaining mentally alert, detailoriented, and capable of sound reasoning
- Word processing and experience using a variety of computer software including Outlook, Word, and Excel.
- Ability to operate calculators, fax machines, copiers, telephones, shared drives, and personal computers.
- Ability to create and manage electronic folders and files.
- Ability to establish and maintain positive interactions with customers and coworkers.
- Strong public rapport, people skills, and customer service orientation.
Physical Requirements
- Must be able to sit for 4 hours at a time.
- Ability to work at a desk with a computer monitor.
- Must be able to lift, push or pull items up to 10lbs on occasion.
- Must be able to meet requirements with or without a reasonable accommodation.

- Work environment includes welllighted, temperaturecontrolled indoor spaces, with occasional exposure to outdoor elements in varying temperatures and lighting conditions
