Your Mission: The Manager, Gift and Database Operations oversight of Sun Health Foundation's donor data ecosystem-ensuring accurate gift processing, data integrity, and comprehensive reporting-and supports donor stewardship communications. This role serves as the system administrator for the Constituent Relationship Management (CRM) platform, Raiser's Edge NXT, and completes gift processing. The Manager also demonstrates in-depth knowledge of donor audiences, identifying and creating segmented lists for targeted outreach and providing operational and project management support for donor relations communications.

Key Responsibilities:

Donor Database Administration & Data Integrity

  • Serve as System Administrator for Raiser's Edge (Enterprise/NXT); manage constituent records, security roles, global changes, imports/exports, maintenance, and troubleshooting.
  • Develop and enforce data entry standards, coding structures, and business rules to support accurate donor analysis, segmentation, and reporting.
  • Perform daily/weekly/monthly database maintenance operations to ensure efficient performance and data quality.

Gift Processing & Compliance

  • Complete accurate and timely gift processing, pledge administration, pledge reminders, payments, tribute entries, and gift receipts. Provide operational support as needed for gift acknowledgment communications.
  • Ensure all donation-related communications (hard copy and electronic) are properly filed and recorded for audit and compliance purposes.
  • Establish and maintain best-practice procedures for gift administration and data workflows.
  • Serve as the lead contact for donor inquiries related to gifts, credit card donations, and donor database requests.

Reporting, Analytics & Insights

  • Create and maintain queries, reports, dashboards, and comparative analyses (e.g., giving history, event totals, campaign results, Board/committee reports).
  • Conduct data analysis to inform segmentation, moves management, pipeline development, and leadership decision-making.
  • Prepare written documentation of processes and procedures for reference, compliance, and training.

Finance Reconciliation & Governance

  • Collaborate with Accounting/Finance (e.g., the Controller) to reconcile donor database records with financial statements and monitor monthly revenue/expense activity.
  • Uphold data governance practices that promote accuracy, consistency, security, and audit readiness.

Donor Relations & Communications Operations

  • Provide key support for the annual schedule of donor mailings, e‑solicitations, e‑blasts, and other database‑driven communications, including defining target audiences, criteria, and parameters.
  • Collaborate with supervisor to establish printing timelines; manage deliverables with external print vendors/print house.
  • Work collaboratively across Foundation to ensure cohesive implementation of database strategies with moves management, marketing/communications, events, grant proposals, and stewardship.

Training, Collaboration & Support

  • Provide training and support to Foundation staff and other department staff on database processes and tools to ensure workflow efficiencies and back-up coverage.
  • Act as liaison with vendors/consultants to advance system capabilities and best practices.
  • Maintain strict confidentiality regarding donor and employee information and adhere to organizational policies and applicable laws.

Events & Department Support

  • Support signature events and fundraising initiatives with clean lists, segmentation criteria, registration data, and post‑event reporting.
  • Assist with other Foundation activities and special projects as assigned.
  • Demonstrate the Sun Health Mission and Values.

Your Qualifications:

  • Requires a bachelor's degree.
  • Minimum three years administering advanced features of Raiser's Edge NXT or five years with a similar donor CRM/database; nonprofit/philanthropy experience required. Experience in marketing operations preferred.
  • Compliance: Must possess or be able to obtain an Arizona Level 1 Fingerprint Clearance Card; must pass a background check and pre‑employment drug test.
  • Ability to travel in own vehicle, current Driver's license and auto insurance is required.
  • CRM & Systems: Raiser's Edge NXT advanced proficiency (required).
  • Knowledge of DonorPerfect, Crescendo, and Volunteer systems (preferred).
  • Reporting & Analytics: Advanced Excel skills; competence in building queries, dashboards, and standard/custom comparative reports.
  • Database Administration: Experience with data integrity, imports/exports, coding standards, policy development, and system documentation.
  • Communication: Ability to make complex concepts easy to understand and deliver exceptional service to donors and staff.
  • Communications Operations: Experience in marketing platform administration (preferably HubSpot); audience segmentation; campaign set-up, execution, and reporting; workflow development and automation; and systems integration (preferred).
  • Must possess or be able to obtain a Level 1 Arizona Fingerprint Clearance Card.
