Position Title: Administrative Assistant & Board Secretary

Department: Administration

Reports to: General Manager

FLSA Status: Full-Time; Non-Exempt

Starting Pay: $16.00/ hour

Applicable qualifications and previous work experience will be given special consideration when establishing pay.

Summary:

This position serves at the direction of the General Manager and is appointed as Secretary to the Board of Supervisors. The position provides administrative, operational and clerical support to the General Manager and Department Heads, prepares documents, publications, and technical equipment essential for public meetings and forums, and provides back-up support to the Customer Service Representatives, as necessary.

Essential Job Functions (Illustrative Only):

  • Facilitates public meetings, drafts and submits documents for memos, and prepares agendas following the timeline dictated in the District’s policy.
  • Responsible for appropriate audio/video set-up before and during public meetings.
  • Coordinates administrative meetings, activities, and other special projects and events of the District.
  • Prepares and publishes legal notices following the timeline dictated by Florida Statute and District policy.
  • Responsible for Public Records Requests, and serves as the District’s Records Management Liaison Officer (RMLO).
  • Manages digital document filing and regularly publishes government-related and financial documents to District’s website.
  • Collects, files and organizes office documents, such as reports and confidential records.
  • Responsible for office inventory and ordering of office supplies.
  • Provides general support including, but not limited to, the preparation or organization of mail, calendar and correspondence.
  • Communicates with residents, customers, vendors, employees, and other individuals to answer questions, fulfill public records requests, disseminate or explain information, and address complaints.
  • Provides back-up support to Customer Service Representatives (front-desk) as necessary.
  • Performs other related, necessary duties as assigned.

Qualification Requirements:

Knowledge of:

  • Strong computer skills/technology background – website management experience preferred
  • Able to create, proof, and submit official documents for publication and other means of distribution
  • Highly organized and has good time-management skills
  • Public service and ability to work well with customers
  • Operation and application of Microsoft Office products (Word, Excel, and Outlook)
  • Correct application and use of the English language, including spelling, grammar, and punctuation.

While performing the duties of this job the employee is regularly required to display verbal skills to effectively interface with other staff members and the public; sit for extended periods of time; walk, and occasionally carry up to 25 lbs.; kneel, stoop, bend, squat; use hands/fingers.

Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and the ability to adjust focus.

Education/Certification/License:

  • High School Diploma or General Education Degree (GED), required
  • Degree from a two (2) year accredited college, preferred
  • Must possess a valid Florida Driver’s License, have a satisfactory driving record, and insurable by the District to operate District vehicles.

Experience:

Minimum of two (2) years of progressively responsible experience in executive-level assistance and/or government or municipal customer service, highly preferred.

Typical working hours for this position is Monday-Friday, from 8:00a to 4:30p. This schedule is subject to change as required to meet the needs of the District. Must be willing to work overtime and/or alternate schedules as required. This position is disaster essential and may be required to report to work immediately following a natural disaster (such as a hurricane).

Job Type: Full-time

Pay: $15.84 - $19.08 per hour
