Position Summary
The scheduler is responsible for creating, distributing, and revising the CNA and Licensed Nurse schedule, preparing and distributing Daily Staffing Sheets, audits as assigned, relieving the front desk assistant, and scheduling patient appointments. When staffing positions are available, scheduling of interviews, interview participation and On-boarding duties as assigned.
Essential Duties
- Master schedule to be posted for the following month by the 15th of current month
- Reviews schedule that is to be posted with ADON (Assistant Director of Nursing) for approval prior to releasing it to staff
- Daily Sheets to be posted in schedule books by Monday for the following 7 days
- Fill in holes in the schedule of CNA’s & Licensed Nurse’s by soliciting coverage in house, if shifts cannot be covered in house then it is your responsibility to call agency staff ONLY with the permission of the Administrator. You must have all agency shifts approved with the administrator’s signature every time.
- Monitor and plan vacation of employees, time off requests, and call offs
- Vacation requests approved with ADON prior to scheduling
- Sets up interviews for open shifts and manages all resumes and job applications received, to be kept on file for 1 year.
- Sets up training schedule for all new employees in the nursing department and monitors their progress. Once they are cleared to work shifts independently, sets up their permanent schedule.
- Responsible for making sure all information needed is collected prior to scheduling a new employee for training i.e. the reference checks, background checks, drug screens, etc.
- Monitoring and keeping track of Nursing tardiness and absentees and providing progressive discipline to ADON when the absentee policy has been violated.
- Openly communicates with ADON and DON (Director of Nursing) any concerns or issues with the schedule in a timely manner
- Performs lab, foley, tube feeding & bath audits weekly
- Attends “stand down” meeting daily with nurse management team for updates on schedule and concerns
- Relief of front desk assistant to transfer and manage calls and residents needs as assigned
- Notification to ADON or DON prior to leaving the building at end of each day, lunches, or personal appointments
- Makes necessary appointments (e.g.: Dr., tests, consults, etc.), arranges transportation and notifies social services department of those appointments, updates transportation calendar, and receives follow up appointments, if needed, from driver. If appointments cannot be made in the allotted timeframe then the ADON or DON will be notified immediately.
- Maintains the utmost confidentiality of schedules and discussions with management, as well as a positive friendly attitude
Basic Qualifications & Experience
- CNA certification.
- Ability to communicate effective verbally and/or in writing.
- Ability to work independently and manage time/projects appropriately.
- Basic computer skills.
- Good general health with the ability to bend, stoop and lift 50 pounds.
- Excellent phone and personal relation skills.
- Ability to maintain and good understanding of resident/personnel confidentiality issues.
- Bondable.
