GENERAL SUMMARY:
The Front Desk Receptionist serves as a liaison between patients and medical staff. Answers telephones courteously and promptly, routing calls in a timely manner to appropriate receiver. Checks-in all patients upon arrival to the office. Instructs patients on proper form completion. Makes certain all demographic information is checked on each patient making changes in the Trimed Practice Management system. Collects and posts co-pays and balances ledger at the end of the day. Check insurance eligibility and documents changes in benefits. Performs all duties in a manner which promotes team concept.
QUALIFICATIONS:
EDUCATION, TRAINING AND EXPERIENCE: (INCLUDES LICENSES OR CERTIFICATIONS)
High school graduate or equivalent.
One to three years’ experience in a similar position within a medical office preferred.
Experience with an EHR, appointment scheduling and patient demographics preferred.
KNOWLEDGE, SKILLS AND ABILITIES:
- Requires knowledge of medical office procedures and policies, strong interpersonal communication and organizational skills.
- Requires ability to read, write, speak clearly and sort/file materials accurately by alphabetic/numeric system.
- Medical terminology and insurance knowledge required.
- Requires the ability to deal with people courteously and promptly both in person and over the phone.

PRINCIPAL DUTIES AND FUNCTIONS:
TELEPHONE/SCHEDULING:
- Answers incoming telephone calls courteously and within three rings. Transfers call to appropriate office personnel or takes detailed messages.
- Monitors telephone calls on-hold; checking back with callers holding more than sixty seconds.
- Schedules appointments for well child visits, recheck visits and new patient consultations over the telephone and at the front desk accurately and according to written guidelines.
- Accept and credit card payments over the phone.
PATIENT CHECK IN:
- Greets patients and public courteously and promptly.
- Verifies that each patient’s demographic information is accurate upon the patient’s arrival. Updates information in Trimed Practice Management system.
- Verifies insurance and if patient does not have card is able to verify eligibility through Internet or phone call.
- Collects payment up front for new patients without proof of insurance.
- Collects accurate information for billing for motor vehicle accident visit.
- Instructs new patients to complete registration forms and financial policies.
- Instructs patients to complete waivers, lack of proof of insurance and other forms as necessary.
- Collect co-payments, payment on account, and accurately enters into PM system.
PATIENT CHECK OUT:
- Reschedules patients as directed by medical staff and physicians.
- Prints and provides any additional forms as indicated by medical staff.
FILING:
- Accurately scans and/or links documents into Trimed (lab and radiology results, hospital information and other documents) promptly ensuring that the correct patient is selected.
MISCELLANEOUS:
- Open and close office each day.
- Maintain adequate inventory of office supplies.
- Maintain adequate inventory of forms.
- Maintain clean and organized waiting area, including managing literature and watering plants.
- Monitors drug representatives checking with Clinic Administrator to determine if visit is appropriate.
- Support billing when needed if they call with questions or verification.
- Review incoming faxes and distribute or link as required.
- Send faxes as requested.
- Manage cash in cash drawer so there is an adequate amount for daily change, visiting the bank when necessary.
- Assures the safe keeping of all receipts (cash, checks, credit cards).
- Balances change ledger daily.
- Meters mail and puts in mailbox at the end of the day.
MAJOR CHALLENGES:
- High patient volumes, telephone calls and job tasks require strong organizational skills, ability to work under pressure and ability to prioritize tasks.
- Dealing with children and their families and a variety of medical problems requires the individual to be patient, caring and understanding.
