Job Title: Administrative Assistant
Classification: Full time
Reports To: Director of Campus Safety
Job Summary/Objective: The incumbent is responsible for providing critical, confidential, and professional administrative support to the Campus Safety Department. Responsibilities include providing exemplary customer service and support of specific Campus Safety functions, including day to day operations, data entry, file maintenance, reports, coordination/communication of meetings, training, and conferences, and coordinating payroll and time entries for the department.
Position Type/Expected Work Hours: 37.5 hours per week, benefits eligible; Monday through Friday 8:30 am – 5:00 pm with flexibility for events and/or special projects as needed
Supervisory Responsibilities: None
Essential Responsibilities:
- Provide exceptional customer service and office management for all visitors and employees of the Campus Safety department through phone, email, and face to face interaction
- Prepare and proofread reports, spreadsheets, and documents; provide feedback and suggestions to Director of Campus Safety as needed
- Ensure accurate and timely payroll entries for the department on a bi-weekly basis
- Adhere to all requirements for Clery reporting
- Draft and maintain daily crime/fire log reports, schedules for employees, inventory and accounts for equipment, Report Exec system, and computer logs, in addition to other regular reporting
- Schedule van and other transportation requests
- Issues parking permits for staff, faculty, and students
- Process payments for hunting & fishing permits
- Schedule training to ensure compliance with all State requirements
- Operate two-way radio system for campus safety officers in the field
- Monitor the Campus Safety website for reports of crime or requests for assistance
Work Environment: Office environment, primarily indoors but some outdoor work may be required.
Physical Demands: Bending, sitting, standing, lifting of 5 pounds; extended periods of sitting/standing and computer work may be required.
Travel: As needed for professional development

Required Qualifications:
- High School diploma or equivalent
- Prior administrative or customer service experience
- Extensive knowledge of Microsoft Office (Word, Excel, PowerPoint)
