Job Summary

This position is located in our Indianapolis office and provides executive assistant support to the CEO and senior leadership team (SLT) as needed and is responsible for some facilities & office management duties.


Essential Responsibilities:

  • Efficiently manage complex calendar for the CEO, scheduling numerous meetings and coordinating appointments across departments and corporate headquarters to ensure timely meetings
  • Coordinate calendar for executive meeting cadences and quarterly town halls; coordinate travel as requested; manage day-of meeting and event logistics (room set-up, food and beverage procurement, etc.)
  • Facility & Office Management: In partnership with HR Generalist, manage and maintain the Indianapolis office including facility maintenance management, office/kitchen supplies & furniture, other office management duties as assigned
  • Administrative Support to CEO: Assist with processing invoices, budgets, expense reports, PTO request management, material creation and copies for meetings.
  • Ad Hoc Projects / Activities: Provide administrative assistance to departments as needed.
  • Responsible for managing travel arrangements and logistics.

  • Associate degree or bachelor's degree in related field preferred, or commensurate experience
  • Three to five years of experience in an administrative role supporting executive level leaders (SVP or C-Suite) required
  • Intermediate to advanced competency in Microsoft Office Suite & other business software.

Knowledge, Skills and Abilities

  • Excellent technical & organizational skills.
  • Excellent verbal & written communication skills with the ability to interact with all levels in the organization.
  • Proven experience in providing excellent customer service (internal and external) and working with confidential information.
  • Ability to work independently and anticipate needs of CEO based on prior tasks and requests
  • Ability to prioritize tasks and tactfully negotiate priority with end users.
  • Ability to work under deadline pressure and extra hours if needed in a fast-paced, rapidly changing / ambiguous environment.
  • Ability to handle sensitive information and maintain confidentiality.
