General Description:
Scheduling and ERSP Specialist is responsible for managing all aspects of ERSP timekeeping software and direct care staff scheduling protocols including but not limited to developing schedule assignments for new hires, coordinating staff assignments with case managers, filling shifts and claiming shifts worked in compliance with all applicable state and federal regulatory requirements.
Duties:
- Manage all aspects of ERSP scheduling and timekeeping functions company-wide in compliance with all applicable state and federal regulations.
- Supervise and oversee scheduling staff to maximize efficiency, quality control and program and employee services.
- Develop and implement systems and internal controls which support scheduling and timekeeping functions while maximizing resources for client program support.
- Onboard new employees to the ERSP system, including orientation services for the ERSP employee interface functions, to maximize correct usage of the system and minimize common usage errors.
- Develop and maintain client/staff base schedules in coordination with IHSS Services.
- Assign and revise staff schedules including but not limited to recurring base schedules, new employee shadow schedules, scheduled leave, overnight/live in schedules, and IHSS shifts.
- Fill open shifts in weekly schedules as they arise, broadcasting open shifts and processing timely updates to ERSP schedules, ensuring that shifts are covered for weekend and overnight shifts are covered for on-call.
- Revise and adjust schedules to maximize the client’s generic resources as necessary throughout the month.
- Claim shifts worked and verify that all shifts are accounted for.
- Update and verify pay codes in ERSP system.
- Enter new employees into the ERSP system.
- Scheduling shadow shifts for employees to train in new programs.
- Work closely with client program managers to develop staff assignments and introduce new staff to client programs.
- Maintain timely and accurate protocols to ensure that timekeeping functions and responsibilities are met with regard to payroll data extraction deadlines and protocols.
Ancillary Functions:
- Represents the company in a professional manner at all times, including social media.
- Establishes and maintains a constructive and professional relationship with all of the clients and the employees.
- Works independently with limited supervision.
- Must be able to work in a fast-paced environment and meet changing deadlines.
- Must possess the ability to multi-task and prioritize the duties of this position.
- Follows written and verbal instructions in English from Management.

- Promotes and maintains a congenial supportive environment for the client and all support staff.
Qualifications:
- 3 years of scheduling/timekeeping management experience preferred.
- Strong Microsoft Office and ERSP skills and experience.
- Strong project management, leadership, relationship development and people management skills.
- Results-oriented with an ability to manage projects and collaborate with, and communicate with, different individuals across the organization.
- Experience in developing and implementing scheduling and payroll policies, procedures, and initiatives.
- Independent, hands-on, and detail-oriented administrative professional.
Work Environment:
- Office work setting however the environment may become confrontational at times if there are clients in crisis coming into the office.
Job Type: Full-time
Pay: $18.00 - $22.00 per hour
