Talon Industries, Inc. is a small business specialty construction company serving the aviation industry since 1997. Talon specializes in welded fuel-piping; specifically aviation fueling systems. We are looking for an experienced Office Manager for our Corporate Office in Arlington Texas.
JOB DESCRIPTION:
The Office Manager will oversee daily office functions including bookkeeping, administrative, human resources, and secretarial tasks to maintain company operations. Ideal candidate will be organized, have initiative to improve processes, and be proactive assisting operational staff.
ESSENTIAL DUTIES:
- Performs bookkeeping functions such as payroll, invoice tracking / processing, accounts payable, and accounts receivable
- Maintains human resources including recruitment, training, company policies, health insurance and benefits
- Assists with onboarding of new employees
- Prepares correspondence or other documents using various software packages. Provides support through copying, faxing, mailing, and coordinating shipments as requested
- Answers telephones, transcribing messages, and when necessary directing callers to appropriate staff or voice mail
- Maintains filing and tracking systems. Includes establishing files for all written / email correspondence, project work, and reports
- Maintains updated insurance documents for subcontracts and vendors
- Assists with timesheets, payroll, and certified payroll reports
- Coordinates travel arrangements.
- Reviews and distributes mail
- Maintain office operations including facilities, supplies, and equipment.
- Performs other duties as assigned
. SKILLS, EDUCATION AND EXPERIENCE:
- Bachelor’s degree in Business Administration or Accounting field
- Minimum of 5 years of previous related work experience including accounting or bookkeeping functions (Construction preferred)
- Proficient in Quickbooks, Microsoft Word, PowerPoint, Excel, and Outlook software
- Good proofreading and editing skills; Effective verbal and written communication skills
- Good computer skills; must be able to adapt to new software.
- Ability to maintain discretion regarding personnel and industry-related matters
- Excellent communication and interpersonal skills
- Must be detail oriented to ensure accurate deliverables, and able to take initiative to meet deadlines
