The Role
The Fleet & Equipment Coordinator plays a critical behind-the-scenes role in keeping Tasman’s field teams moving. This position blends hands-on field support with administrative and compliance responsibilities to ensure trucks, equipment, and drivers are properly set up, maintained, documented, and ready to go.

What You’ll Be Doing
Fleet & Truck Operations

Coordinate truck deliveries and returns with transport vendors

Conduct pre- and post-delivery truck inspections

Complete truck setups including decals, numbering, GPS units, safety kits, binders, fuel cards, and boosters

Shuttle trucks for maintenance, repairs, and servicing

Coordinate DOT inspections for trucks and trailers

Respond to breakdowns, service issues, and field requests

Perform regular truck inspections and cleaning

Assist teams in sourcing replacement trucks when needed
Equipment Management

Manage small equipment inventory (filters, calibration gas, parts, etc.)

Place equipment orders and coordinate repairs
-
Perform inspections and basic troubleshooting when possible

Coordinate equipment drop-offs, pick-ups, and deliveries

Support GPS tracker installation and maintenance on assets
Administrative & Compliance Support

Process POV insurance approvals and assignments in Paycom
-
Review MVRs and onboard new drivers
-
Remove terminated drivers from insurance and tracking systems

Maintain driver qualification files
-
Update truck files and maintenance records
-
Add/remove vehicles, trailers, and equipment in insurance and tracking systems

Code fleet- and equipment-related invoices for Accounts Payable

Maintain fleet utilization and financial tracking spreadsheets

Support ordering and setup of trucks, fuel cards, and GPS units
-
Respond to ad hoc requests from project managers and field leaders
Additional Support

Assist with B2B campaign support as assigned

Support annual activities such as registrations, renewals, and policy or training updates
What You Bring
Required
-
High school diploma or equivalent
-
2 years of experience in fleet coordination, equipment management, logistics, or operational support
-
Strong organizational and time-management skills
-
Working knowledge of vehicle maintenance and inspections

Comfort working with administrative systems and spreadsheets
-
Clear communication style and a customer-service mindset
-
Ability to troubleshoot issues and follow them through to resolution

Valid driver’s license and authorization to work in the U.S.
Nice to Have

Experience supporting DOT-regulated fleets

Familiarity with GPS tracking systems, fuel cards, or fleet management software

Experience in construction, environmental, or field-services environments
Work Environment & Physical Requirements
