Title: Assistant Director, Scholarships, Outreach, and Compliance

Position Summary

This position is responsible for developing and managing outreach events, managing institutional partnerships including scholarship funds, and directing the development, maintenance and monitoring of the College’s financial aid compliance program.

Essential Job Functions/Job Duties And Responsibilities

Evaluate legislative changes for potential impacts to the College and assist the Director in partnering with other institutional departments to respond to pending legislation that impacts the Office of Financial Aid or the College, including identifying regulatory changes and ensuring timely implementation of institutional procedures to ensure ongoing compliance. Lead a risk-based quality control program of the College’s financial aid performance to ensure compliance with regulatory compliance procedures. This includes transaction testing, reporting, deficiency tracking and remediation. Direct an ongoing regulatory training program for institutional partners to ensure regulatory awareness and operational effectiveness. Manage the financial aid operational and communication calendar and processes to ensure timely reporting.

Direct office workflows related to file processing, scanning, year-end and preparation and planning for upcoming fiscal year. Oversee Nashville State’s relationship with the EdAmerica Call Center for quality assurance and serve as the primary contact for referrals and escalations. Additionally handle the submission of training opportunities to EdAmerica. Collaborate with the Welcome Center on Financial Aid issues ensuring timely resolution. Lead the financial aid outreach efforts, by scheduling staff for events and workshops, organizing office-sponsored events, and keeping the financial aid webpage information up to date. Identify and implement process improvements within the financial aid office to increase student success, improve department efficiencies, reduce costs and streamline/simplify financial aid processes for students.

Manage the financial aid components of the CPOS (Course in Program of Study) including daily reports, and collaboration with Records office to resolve any complications. Serve as backup to the co-Assistant Director of Financial Aid, as needed but particularly with professional judgement, dependency overrides, homeless youth determinations, and R2T4s. Direct resolution of engagement reporting throughout the term and during end-of-term processing. Evaluate and determine appropriate resolution for any over awards, coordinate with other employees within the office to resolve. Coordinate with the Student Account & Billing Office on the state aid fund account numbers needed for application of state aid on the Finance side. Coordinate with Records and Student Account & Billing Offices on the resolution of duplicate student records in Banner. Supervise and train assigned office personnel, specifically the coordinators (5). Serve as a member of the SAP and IRP appeal committees.

Required Qualifications

Bachelor’s degree

Five (5) years of increasingly responsible experience in a financial aid office or at least one (1) year of experience in a financial aid office with sufficient NASFAA Professional Credentials to demonstrate required knowledge.

Experience in administering, awarding, and reconciling at least one state aid program (TN Education Lottery Scholarship, TN Reconnect, TN Promise, or TN Student Assistance Award)

Experience using federal EDE software processing websites (such as NSLDS, COD, FPP, etc.) and other financial aid related software.

Preferred Qualifications

NASFAA credentials

Prior experience using BANNER, ARGOS, Automic, Dynamic Forms, Xtender (BDM), FAST, and SLATE

Knowledge, Skills And Abilities

Knowledge of BANNER and state program processing. Working knowledge of regulations governing federal, state, and institutional financial aid policies. Strong interpersonal and communication skills, both written and oral, with the ability to work effectively in a diverse community. Critical thinking skills to identify underlying principles, motivations, and facts by breaking down information. Ability to work independently with minimal supervision, demonstrating self-direction, responsibility, and accountability. Proficient in MS Office, including PowerPoint or other presentation software. Ability to make strategic and complex decisions using professional judgment. Ability to provide clarification, guidance, and support to direct reports. Ability to establish and maintain positive and productive relationships with faculty, staff, students, and external contacts. Demonstrated time management and prioritization skills to complete tasks in a timely manner. Integrity in handling confidential and sensitive information, with the ability to accurately document and maintain data. Willingness to work nights and weekends as needed.
