The Mailroom Copy Center manager is responsible for the daily operations of the mail/copy center. Those responsibilities include recommendations for hire, training and supervising full time copy center employees and student workers. This is a “hands-on” role where Manager will coach/train/mentor staff and also work as a team member to meet the needs of the University Community.

Essential Duties and Responsibilities
  • Hires, trains, coaches, oversees daily duties of Mailroom/Copy Center employees.
  • Oversees the daily operation of University mail/package distribution for students, faculty and staff.
  • Maintains and compiles records for monthly departmental billings.
  • Maintains records to confirm completion of mail-outs, registered mail and forms inventory for Smart Mailer.
  • Maintains postage equipment necessary to accomplish mailroom tasks.
  • Coordinates with faculty, staff and students to meet deadlines and to insure confidentiality of all sensitive materials such as exams and financial data.
  • Oversees operation of copy center.
  • Maintains supply inventory.
  • Recommends improvements to advance service to students, faculty and staff.


Education, Certifications and/or Licenses
  • High school diploma or GED required.
  • Some college preferred.


Experience
  • 3 -5 years experience in a mailroom/copy center environment.
  • Supervisory experience of at least 1 – 2 staff required.

Knowledge, Skills & Abilities
  • Knowledge of the requirements of a multi department mailroom and copy center.
  • Knowledge of current mailroom and production copy center technology.
  • Ability to learn features and functionalities of new technology and to train others in their uses.
  • Knowledge of current postal regulations.
  • Ability to work effectively with a wide ranges of constituencies in a diverse community.
  • Ability to supervise, train and coach employees.
  • Knowledge of Microsoft Office Suite including but not limited to, Excel, Word and Outlook.
  • Strong organizational, recordkeeping and time management skills, with ability to handle multiple tasks while meeting deadlines.
  • Good oral and written communication skills.
  • Ability to read and comprehend instructions, correspondence, manuals, and memos.
  • Ability to prepare correspondence with demonstrated proficiency in grammar, punctuation, spelling and word usage.
  • Should possess excellent oral communication skills and have the ability to express one’s self politely and effectively.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving several concrete variables in standardized situations.
  • Ability to read and interpret documents such as operating and maintenance instructions, procedure manuals and safety rules.
  • Ability to create routine reports using Excel, and correspondence using Microsoft Word.
  • Ability to speak effectively before groups of students or University employees.
  • Proven interpersonal skills to provide support in an office with tact and diplomacy.
  • Great attention to detail with an eye toward accuracy.
  • Ability to adhere to University & departmental policies and procedures.
  • Ability to be discrete in handling confidential matters, while complying with FERPA regulations.
  • Ability to demonstrate and provide quality customer service.
  • Ability to complete all physical tasks as required for daily duties.
  • Ability to work and handle mechanical parts.
