What are the responsibilities and job description for the Development Assistant position at The Arc Tampa Bay Foundation?

Position Summary:

The Development Assistant welcomes visitors and callers to the Foundation and provides important clerical and administrative support to ensure all office functions are completed in a timely manner. In addition to providing administrative support to the Executive Director and Foundation staff, this role is responsible for supporting the implementation of all special events and fundraising activities.

Essential Functions of Position:

· Handles incoming calls and aids all callers whenever possible. Resolves all donor relations issues independently, reporting to supervisory staff as needed. Checks voicemail regularly.

· Processes all outgoing and incoming mail. Routes staff correspondence.

· Develops and/or oversees circulation of weekly Rem“Arc”able e-newsletter.

· Supports all event logistics including public relations, advertising, collateral material design, and press release production and distribution.

· Coordinates event ticket sales.

· Provides support with event vendor relationships.

· Supports all aspects of volunteer committees and volunteer coordination as it relates to special events, including but not limited to, staffing, recruitment, supervision, training, follow up and acknowledgement.

· Supports silent auction, prize, and in-kind donation solicitations for each event.

· Creates content and maintains social media pages.

· Maintains website and makes updates as needed.

· Acts as Foundation photographer. Maintaining photographic files & applicable photo release forms.

· Enters donor gifts/information into Donor Database and ensures accuracy.

· Processes acknowledgement letters and ensures they are mailed in a timely manner.

· Assists with all in-house mass mailings such as invitations, Save the Date, etc.

· Draft, compose and proof a variety of correspondence with minimal supervision.

· Provides administrative support to all Foundation staff as needed.

· Provides administrative support for all Board and Committee meetings including scheduling, tracking RSVP’s and attendance, emailing meeting reminders, assuring that all materials prepared for meetings are sent to all members and are also available at the meetings.

· Handles photocopying and filing, refilling postage meter when necessary

· Responsible for keeping the general office area neat and orderly.

· Maintains open lines of communication with all staff.

· Attends and assists with The Arc Tampa Bay and The Arc Tampa Bay Foundation functions as assigned.

· Must be able to lift 25 lbs.

· Perform other duties as assigned by the Executive Director.

Knowledge, Skill & Abilities:

· Proficiency with Microsoft Office, Word, and Excel.

· Proficiency with Adobe (InDesign & Illustrator) & Canva.

· Proficiency with phone and email communication.

· Proficiency with social media platforms (Facebook, Instagram & LinkedIn).

· Proficiency with WordPress

· Must have a valid Florida driver’s license.

· Must be able to work cooperatively within a team environment.

· Must possess excellent written and oral communication skills, including the ability to draft and finalize clear, concise, and accurate documentation and letters with minimal supervision.

· Professional, strong, effective interpersonal skills and ability to interact with a variety of people including staff, donors, volunteers, and participants.

· Ability to effectively handle multiple and varied projects, tasks, and people in a professional manner with minimal supervision, and to act as a professional representative of The Arc Tampa Bay Foundation always.

· Must be organized and detail oriented and able to meet deadlines and produce a volume of work with minimal errors.

· Must be able to handle and maintain confidentiality regarding donor records and giving histories.

· Flexibility in hours and periodic working mandatory weekends and evening events.

Job Type: Full-time

Pay: $42,000.00 - $50,000.00 per year

Schedule:

  • 8 hour shift
  • Weekends as needed

Education:

  • High school or equivalent (Preferred)

Experience:

  • Fundraising: 1 year (Preferred)
  • Microsoft Office: 1 year (Required)
  • Executive administrative support: 1 year (Required)
  • Event marketing: 1 year (Required)
  • Adobe InDesign: 1 year (Required)
  • Adobe Illustrator: 1 year (Required)
  • WordPress: 1 year (Preferred)

License/Certification:

  • Florida Driver (Required)

Ability to Commute:

  • Clearwater, FL 33765 (Required)

Salary : $42,000 - $50,000
